$28/HR Responsibilities Strategic and Program Support Support strategic planning and execution of high-priority initiatives as directed by the Head of Program Leadership. Collaborate on the development and monitoring of key performance indicators (KPIs) to track and communicate progress against Program Leadership goals. Represent Program Leadership within the Chief of Staff (CoS) network and support R D priority tracking. Monitor critical programs, identify execution barriers, and escalate or resolve issues to ensure high-quality and timely delivery. Prepare regular reports and presentations to keep stakeholders, including the R D CoS, informed of status, KPIs, and potential risks. Vendor & Budget Management Coordinate the vendor approval and procurement process for initiatives supporting drug discovery and development. Oversee purchase orders and ensure compliance with fiscal policies. Ensure budget adherence across travel, conferences, and other Program Leadership-supported initiatives. Operational and Administrative Support Lead and facilitate team meetings; manage shared documentation and internal repositories. Actively communicate and disseminate updates from working groups, networks, and committees. Provide executive support to the
VP of Program Leadership:
Manage calendar, travel, and expenses. Prioritize, schedule, and coordinate meetings. Ensure the VP is prepared for engagements, including assembling necessary materials. Act as a liaison and first point of contact for high-level internal and external stakeholders. Manage correspondence, including drafting emails, letters, and PowerPoint presentations. Support special projects and event coordination (e.g., staff meetings, town halls, conferences). Handle inquiries via phone, email, and mail with professionalism and discretion. Team Development & Cross-Functional Support Support and guide contract administrative staff across the organization, facilitating training and access to subject matter experts (e.g., IT, Security). Ensure coverage and backup support for Office of Research and Development (ORD) administrative assistants.
Qualifications Required :
Bachelor’s degree in Business or related field with 5+ years of experience, or a Master’s degree with 3+ years of experience, preferably in a pharmaceutical R D environment. Proven track record of delivering results and driving execution. Strong organizational, analytical, and problem-solving skills. Effective communicator with excellent presentation and listening skills. Ability to navigate and operate effectively within a matrixed global organization. Experience managing high-visibility and complex projects with precision and attention to detail.
