Full-Time General Summary:
Novant Health Hilton Head Orthopedics is seeking a highly organized and detail-oriented Scheduling Coordinator for Surgery to join our team. In this role, you will be responsible for coordinating and managing surgical schedules, ensuring timely and accurate scheduling of surgeries for orthopedic patients. You will serve as the key point of contact for patients, surgeons, and other healthcare professionals, ensuring that all aspects of the scheduling process run smoothly. This position requires strong communication, organizational, and problem-solving skills to manage multiple tasks efficiently and provide exceptional service to our patients.
Essential Job Responsibilities:
Surgical Scheduling:
Coordinate and schedule surgical procedures for orthopedic patients, ensuring accuracy, timely scheduling, and appropriate preparation for each surgery.
Patient Interaction:
Communicate with patients to confirm surgery dates, provide pre-surgery instructions, and address any questions or concerns related to the procedure. Collaboration with
Medical Team:
Work closely with orthopedic surgeons, medical staff, and surgical teams to ensure all required resources, equipment, and staffing are available for scheduled surgeries.
Insurance Verification:
Verify patient insurance information for surgical procedures, ensuring pre-authorizations and approvals are obtained when necessary.
Documentation & Records:
Maintain accurate and up-to-date patient records, surgical schedules, and related documentation, ensuring compliance with organizational policies and healthcare regulations.
Scheduling Adjustments:
Manage changes or cancellations to the surgical schedule, promptly notifying all affected parties, including patients, medical staff, and surgical teams.
Follow-Up Communication:
Provide follow-up communication to patients regarding their surgical procedures, ensuring they are aware of any changes and receive necessary pre-surgery instructions.
Coordination of Pre-Op Appointments:
Schedule pre-operative appointments, including lab work, imaging, and other evaluations required prior to surgery, and ensure timely completion.
Surgical Facility Coordination:
Ensure coordination with surgical centers or hospitals for the scheduling of procedures, ensuring the correct time and location for each surgery.
Problem-Solving:
Address any scheduling conflicts, cancellations, or delays in a timely and professional manner, minimizing disruption to the patient’s care and the surgical team’s schedule.
Patient Education:
Provide patients with information regarding surgery preparation, post-operative care, and any additional instructions needed for their procedure.
Education & Experience Requirements:
High school diploma or GED required. Previous experience in a healthcare or medical office setting preferred, especially in a scheduling, administrative, or surgical coordination role. Knowledge of orthopedic procedures or surgical practices is a plus.
Key Skills & Qualifications:
Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment. Excellent communication skills, both written and verbal, with the ability to interact professionally with patients, medical staff, and other team members. Ability to maintain a high level of accuracy and attention to detail in scheduling and documentation. Strong problem-solving skills, with the ability to address issues as they arise and find timely solutions. Knowledge of medical terminology, insurance verification, and surgical procedures preferred. Proficiency in Electronic Health Record (EHR) systems, scheduling software, and Microsoft Office Suite. Compassionate, patient-centered approach to communication, with a focus on providing excellent customer service.
