The Operations Support Associate plays a key role in supporting warehouse operations by ensuring accurate data entry, maintaining up-to-date inventory and order records, and providing responsive, professional service to internal and external customers. This position bridges communication between the warehouse team, customers, and other departments to ensure timely order processing, issue resolution, and efficient workflow. The ideal candidate is detail-oriented, organized, and customer-focused, with the ability to thrive in a fast-paced, logistics-driven environment.

Key Responsibilities:

Accurately enter and update inventory, shipping, and receiving data into warehouse management systems (WMS) Verify data for accuracy, completeness, and compliance with company standards and procedures Maintain up-to-date records of product movements, including inbound and outbound shipments Generate and print labels, packing slips, and other documentation as needed for warehouse operations Communicate with warehouse staff to clarify discrepancies or obtain missing information Perform regular audits to ensure data integrity between physical inventory and system records Assist with inventory cycle counts and reconciliation efforts File and organize digital and physical records for easy retrieval and reference Respond to customer inquiries via phone, email, or chat in a professional and timely manner Communicate order status, shipping updates, and product availability to customers Maintain accurate customer records, including contact information and order history Investigate and resolve delivery issues such as lost, delayed, or damaged shipments Identify recurring issues and report them to management for process improvement Maintain professionalism and empathy in all customer interactions Adhere to company guidelines for handling sensitive customer and order data

Qualifications:

High school diploma or GED required Previous experience in data entry, customer service, or administrative support (preferably in a warehouse, logistics, or distribution environment) Familiarity with warehouse operations or supply chain processes is a plus Proficient in Microsoft Office Suite, especially Excel and Outlook Experience with warehouse management systems (WMS), ERP software, or order processing platforms (e.g., SAP, NetSuite, Oracle, Fishbowl) Accurate typing skills (typically 40+ WPM) with attention to detail Comfortable using printers, label makers, and basic office equipment Strong verbal and written communication skills Ability to work well with cross-functional teams, including warehouse staff, drivers, and management Customer-focused mindset with problem-solving abilities Professional and courteous demeanor when interacting with customers or internal teams High level of accuracy and attention to detail Ability to manage time effectively and handle multiple tasks in a fast-paced environment Strong organizational skills for maintaining records and following procedures Willingness to learn warehouse systems and procedures Dependable and punctual with a strong work ethic Ability to adapt to changing priorities and work independently or in a team Basic understanding of inventory control, shipping, and logistics processes is a plus Flexibility to work nights, holidays, and weekends Must have permanent US work authorization
