Full Job Description Position Summary:

The Assisted Living Scheduler is responsible for coordinating and maintaining daily and long-term staff schedules for caregivers, CNAs, and Med Tech’s in an assisted living community. This role is critical to ensuring that residents receive consistent, high-quality care by maintaining appropriate staffing levels while supporting staff needs and community policies.

Essential Duties and Responsibilities:

Create and manage daily, weekly, and monthly schedules for care staff to ensure sufficient coverage across all shifts. Respond to and manage shift changes, call-offs, and time-off requests in a timely and organized manner. Communicate schedule updates clearly to team members and department heads. Maintain accurate records of attendance, scheduling changes, and staffing levels. Collaborate with the Director, Care Team and HR to forecast staffing needs and address gaps proactively. Ensure compliance with staffing ratios, state regulations, and company policies. Minimize overtime through effective scheduling and resource allocation. Serve as the point of contact for staff regarding scheduling questions or concerns. Assist with onboarding new staff by integrating them into the schedule and training calendar. Support the community’s mission of resident-centered care through timely and efficient staffing.

Qualifications:

High school diploma or GED required; associate degree or higher preferred. At least 1 year of experience in staff scheduling, preferably in a healthcare, senior living, or long-term care environment. Proficiency with scheduling software and Microsoft Office (especially Excel). Strong organizational, problem-solving, and time-management skills. Excellent verbal and written communication skills. Ability to handle sensitive information with confidentiality and professionalism. Knowledge of assisted living operations and regulations is a plus.

Work Environment:

Based in an assisted living community. Requires evening, weekend, and on-call availability for urgent scheduling needs.
