POSITION SUMMARY:

As an Operations Associate within our real estate firm, you will play a crucial role in ensuring the smooth functioning of various operational aspects within the company. You will support the day-to-day operations and ensure seamless coordination between various stakeholders. Your role is multifaceted, requiring a combination of administrative, managerial, analytical, and interpersonal skills to support the successful execution of development projects. Additionally, you will enhance the effectiveness of executive employees by managing calendars, making travel, meeting, and event arrangements, as well as preparing reports and financial data. The ideal candidate will be detail-oriented, possess strong communication skills, and exhibit a proactive attitude towards problem-solving. KNOWLEDGE/SKILLS/ABILITIES

Exceptional verbal and written communication skills to liaise effectively with team members and leadership. Outstanding organizational skills to manage multiple priorities, tasks, and deadlines efficiently.

ESSENTIAL JOB FUNCTIONS

Prepares, completes, and modifies documents including correspondence, reports, drafts, memos, contracts, and emails Handles requests for information and data Collaborate with internal teams to gather, verify, and track critical data points, ensuring consistency, accuracy, and accessibility of information across all project stakeholders Communicate information about new projects and developments to operations team through monthly reports Handle paperwork, documentation, and correspondence related to property transactions, permits, contracts, and other legal matters Performs general clerical duties including photocoping, fax, mail, and emailing Plans events, facilitates meetings, and organizes community outreach programs Schedules and coordinates meetings, appointments, and travel arrangements as needed Organize various events such a team-building activities, lunch and learns, and other promotional or celebratory events Handle PMA auditing and reviewal of contracts, certifications, and invoices Perform all other duties as assigned

SPECIFIC EDUCATION OR EXPERIENCE

Advanced Microsoft Office Suite experience High school diploma, associates or bachelor’s degree preferred

PHYSICAL DEMANDS AND WORK ENVIRONMENT

Frequently sit, stand and walk. Regularly required to talk or hear. Frequently required to use hands or fingers to handle or feel objects, tools or controls. Occasionally required to climb or balance, stoop, kneel, crouch or crawl. Occasionally lift and/or move up to 25 pounds. Vision abilities to include close vision, distance vision, peripheral vision and the ability to adjust focus. The noise level in the work environment is usually moderate. Temperature in the workplace is typically moderate, though the ability to withstand seasonal cold and heat of the outdoors is necessary.
