Job Summary:

The Admin Assistant and Staff Scheduler is responsible for ensuring efficient and effective staff scheduling for approximately twenty group homes. This role involves conducting interviews, filling budgeted positions and shifts, coordinating staff availability, collaborating with home supervisors, addressing scheduling conflicts, and maintaining accurate records. This employee plays a key role in ensuring that each home is adequately staffed, helping to provide quality care to residents while adhering to company policies. In addition, provides vital clerical and organizational support, managing tasks like scheduling, answering phones, organizing files, and assisting with various office duties to ensure smooth operations.

Highlighted Responsibilities:
Interviewing Applicants:

Review applications submitted through the electronic application routing system. Serve as a liaison between the Residential Department and the Human Resources Department. Discuss potential applicants with administration to ensure the best possible fit for both the applicants and the individuals served.

Fill Budgeted Positions:

Ensure that hiring and staffing aligns with budgeted positions that are established to meet the needs of the residents living in each home.

Staff Scheduling:

Create and maintain weekly schedules for all group home staff, including direct support professionals and supervisors, ensuring adequate coverages for all shifts.

Staff Coordination:

Communicate with staff members to confirm availability, shift preferences, and to ensure coverage for sick or emergency leave. Collaborate with

Home Supervisors:

Communicate with each supervisor to ensure full understanding of each home’s staffing needs.

Manage Scheduling Conflicts:

Resolve conflicts, such as shift overlaps or coverage gaps, and adjust the schedule as needed.

Record Keeping:

Maintain accurate records of staff schedules, time-off requests, and hours worked, ensuring compliance with company policies and labor regulations. Manage a shared spreadsheet system and generate reports as requested.

Communication:

Serve as a liaison between staff and management, providing updates on scheduling changes, emergency shift needs, and any concerns related to scheduling.

On-Call Support:

Assist in troubleshooting last-minute scheduling issues.

Creativity:

Look beyond what exists today and work to develop and refine applicant and staff scheduling systems.

Flexibility:

As a newly created position, this role may change overtime to address the needs of the Residential Department. This employee should expect to be flexible in the duties performed. .

Assist:

Supervisory Structure:

Reports to the Assistant Director of the Residential Program. Works collaboratively with Human Resources, applicants, and all departmental staff to accomplish the goals of Orange Grove Center.

Education:

High school diploma or equivalent required; bachelor’s degree preferred.

Qualifications:

Previous experience in scheduling is preferred. Strong organizational skills and attention to detail are required. Excellent communication skills, both written and verbal, are required. Demonstrated ability to work independently and handle multiple tasks simultaneously are required. Demonstrated ability to balance projects with the needed and available resources is required. Demonstrated knowledge of labor laws and hiring best practices are required. Fluent computer skills to include scheduling software programs, are required. Ability to work flexible hours when needed is required. Professional demeanor and helpful attitude are required. Physical Requirements:
