This position serves as the primary point of contact for visitors to the UT Tower, ensuring a welcoming and professional experience. In addition to providing outstanding customer service, the coordinator oversees key daily operations, including mail services, supply room management, FedEx transactions, UTSA meeting room reservations, and maintenance of workstation signage. The role is also responsible for procuring supplies for the Central Supply Room and managing monthly reconciliation of procurement card expenses.
Key Responsibilities:
Greet and assist visitors, ensuring compliance with UT Tower security procedures and Public Building Authority (PBA) rules. Perform administrative activities related to front reception area. Oversee daily operations related to receiving, delivery, mail fulfillment, and processing of incoming and outgoing mail for the UT Tower. Ensure timely mail distribution and coordinate pick-up/delivery from the Summer Place facility and each UT Tower floor. Coordinates FedEx shipping and receiving, including creating shipping labels and processing related expenses through a procurement card. Assist departments with package tracking and maintain current knowledge of U.S. Postal Service regulations and university mail policies. Manage the central supply room and facilitate ordering and delivery of office supplies for the UT Tower. Coordinate Staples orders, manage related procurement card charges, and reconcile monthly statements.
Additional Duties:
Support the PBA in maintaining workstation signage. Process procurement card expenses for mail and supply services. Collaborate with Floor Captains on procedural matters and serve as back-up Floor Captain to Mike Gregory. Act as the primary contact for vending machine operations on the 8th and 11th floors, including coordinating with vendors for refunds and equipment servicing. Communicate non-emergency messages between PBA and UT System employees. Serve as the point of contact for lock and access control issues. Act as a liaison to the UT Tower Security Desk. Perform additional projects and responsibilities as assigned. High school diploma or equivalency required. Additional skills, experiences, and qualifications include: Knowledge of all mailing practices, postal regulations, laws and overnight shipping guidelines. Knowledge of related automated mail systems and technological trends. Ability to manage multiple priorities and projects. Working knowledge of PC based programs – Microsoft Office Word and Excel, AccuZip, USPS Postal One, etc. Strong computer skills, must be proficient using Excel and Word. Organized and able to multi-task. Strong customer service, organization, diplomatic, and multitasking skills are required. Knowledge of University Policies and Procedures and United Postal Regulations regarding Domestic and International Mail is preferred.
