Role :
To assist 7 Title Branch by receiving orders, opening files, ordering property searching reports, accurately reviewing and transferring information provided by abstractors, preparing commitments of title insurance, title opinions, ACE reports ; certificates of lien position. The Title Operations Specialist works closely with lenders, clients, abstractors and licensed agents to solve title issues. Responsible for the accurate funding and shipping of closed loan files including the settlement of funds and the recording of deeds and other important documents, generating policies of title insurance, and remitting premiums to the Underwriter.
Essential Functions and Responsibilities :
Enters required information from new title orders into the title operating system, verifying all information given is accurate to the extent possible. Creates physical file folders; assigns orders to the Underwriter/Independent Abstractor for search report. Makes introductory contact with all parties (phone/email) to acquire necessary information. Receives and examines incoming abstract work on full searches, current owner title searches and title opinions for review and signature of Licensed Agent. Works closely with the Licensed Agent to understand abstract work and asks questions when needed. Serves as a liaison between abstractors, licensed agents, Title Attorney and lenders to ensure title search products are delivered in a timely manner. Generates final title policy by reviewing closed loan documents for accuracy; reviews commitment requirements and evidence of satisfaction of each item; determines if owners’ policy is to be issued as well as loan policy, enters appropriate information in operating system, prints policy and submits file to Licensed Agent for final review and signature. Performs various monetary funding duties including, but not limited to, verifying funds received, posting deposits to individual files, printing checks, wiring or overnighting payoffs, depositing funds in members accounts, mailing/distributing various other checks and balancing files. Performs various post close duties such as auditing files to verify commitment requirements are satisfied, organizing/scanning packages, sends/receives important recording documents and maintains files for closed loans. Performs other job-related duties as assigned, including cross-training other employees in the department and assisting with functions of other departmental positions when co-workers are unavailable. Performs pre and post close updates of properties to ensure proper lien position where commitments for insurance, ACE reports and title opinions are issued. Remits policies to Lender either electronically through the operating system or by mailing directly to the Lender. Updates operating system as necessary and appropriate. Scans/uploads/mails title documents and loan packages to appropriate parties. Performs other job-related duties as assigned.
Experience :
Three or more years of experience in financial services, customer service or real estate experience is required. Title experience preferred.
Education :
Associate’s degree in a business-related field, or an equivalent combination of education and work experience is required.
