Job Description

Private Duty Scheduler 5.0 5.0 out of 5 stars Columbia, TN 38401 Private Duty Scheduler – Columbia, TN The scheduler is responsible for the coordination of client visits, maintenance and upkeep of scheduling records and log books, and the accurate and timely communication of scheduling changes between office, field staff and patients. He/She reports directly to the Private Duty/Choices Supervisor and/or Branch Manager. Monday-Friday 8:00-4:30 PM. Excellent customer service and telephone skills. Working knowledge of medical terminology. Prior experience with Windows based operating system, EMR, and Outlook. Ability to type a minimum of 35 WPM. Prior medical/healthcare office experience is essential. Prior home health/private duty experience a plus.

Responsibilities:

Assists in taking referrals as needed. Updates log books and schedules on Kantime software. Prepares monthly schedules for field staff and distributes via mail as needed. Assists in coordinating services provided to clients. Controls and monitors schedule changes. Checks compliance of visits done after all Santrax entries are verified. Brings any scheduling problems to the supervisor’s attention immediately. Calls hospital Case Management department to notify them that an Agency client has been admitted to their hospital. Gives and takes report from the on call coordinator. Attends case conferences as requested by his/her supervisor. Assists in relaying messages to field staff, office staff, and community liaisons. Takes complaints from staff and clients. Prepares daily employee tracking on field employees and gives to supervisor. Prepares daily missed visit sheets on clients. Faxes missed visits sheets to physicians and Case Managers. Calls field employees when requested by supervisor or Human Resource Coordinator regarding personnel file requirements or required in-services. Rotates on call shifts for after hours and weekends. Performs other duties as assigned such as filing by the supervisor or Branch Manager. Maintains client roster with necessary information. Projects a concerned, professional attitude toward departmental personnel and external customers. Works to develop a positive rapport with all staff members and community resources affiliated with home health care services.
