The Warehouse Manager is responsible for the efficient operation of the warehouse, including inventory management, fleet management, and all job-related purchasing and PO creation. This role involves ensuring the timely and accurate procurement of materials and equipment, maintaining the fleet, and supporting the operational needs of the team.
Key Responsibilities:
Warehouse Operations:
Direct and oversee the receipt, storage, and distribution of materials and equipment, including but not limited to air conditioning units, furnaces, ductwork, and associated parts. Maintain an organized warehouse layout, ensuring materials are stored in an accessible manner and labeled according to company standards. Conduct regular physical inventory counts and reconcile with electronic inventory records to identify discrepancies and adjust inventory levels as needed. Manage the staging and preparation of materials and equipment for upcoming jobs, coordinating with project managers to ensure all required items are ready for dispatch. Implement and enforce safety protocols to comply with OSHA standards, including the proper handling and storage of hazardous materials.
Fleet Management:
Oversee the scheduling of regular maintenance, inspections, and repairs for a fleet of vehicles including service vans, trucks, and trailers. Maintain detailed records of each vehicle’s maintenance history, fuel usage, mileage, and operational costs. Coordinate with field supervisors to assign vehicles to technicians based on job requirements, ensuring optimal vehicle usage and minimizing downtime. Ensure all fleet vehicles comply with local, state, and federal regulations, including maintaining up-to-date registrations, inspections, and insurance. Develop and implement strategies to reduce fleet operational costs, such as optimizing routes for fuel efficiency and reducing vehicle idling time
Purchasing and PO Management:
Manage all aspects of job-related purchasing, including identifying material and equipment needs based on job scopes provided by project managers. Source materials and equipment from approved vendors, negotiating pricing, delivery schedules, and payment terms to maximize cost-effectiveness. Generate and manage purchase orders (POs), ensuring all POs are accurate, approved, and aligned with project budgets. Track orders from placement to delivery, coordinating with vendors to address any delays or issues that arise. Reconcile vendor invoices with POs and delivery receipts, resolving any discrepancies before submitting for payment processing.
Collaboration and Communication:
Collaborate closely with project managers, site supervisors, and the installation team to forecast material needs for upcoming projects. Communicate any issues related to inventory shortages, delivery delays, or fleet availability to the relevant stakeholders promptly. Provide weekly reports on inventory levels, fleet status, and purchasing activities to senior management. Participate in project planning meetings to align warehouse and fleet operations with project timelines and objectives.
Qualifications:
Proven experience in warehouse management. HVAC warehouse experience preferred. Extensive knowledge of HVAC materials, equipment, and components, including familiarity with industry standards and specifications. Proven experience in fleet management, including scheduling maintenance, managing records, and ensuring regulatory compliance. Strong proficiency in inventory management software and Microsoft Office Suite, particularly Excel for tracking and reporting purposes. Excellent negotiation skills with experience in vendor management and procurement processes. Strong organizational skills wit a keen attention to detail and the ability to manage multiple priorities simultaneously. Valid driver’s license and clean driving record. Forklift certification. Ability to lift and move HVAC materials and equipment. Ability to work in a warehouse environment, which may involve exposure to varying temperatures and conditions.
