Full Job Description General Summary of Duties:

The Manager, Logistics supports the Director, Operations in managing the day-to-day operations of production resources and activities for artists. This position also regularly collaborates with the Artistic Programs Team to support their production needs. This position is responsible for the successful execution of all live and virtual event logistics on behalf of the organization and artist community, the procurement of vendor relationships and production-related needs, and developing relationships with venue liaisons, producers, presenters, and other arts event planners nationally.

Direct Reporting:

The Manager, Logistics directly reports to Director, Operations. Essential and Other Responsibilities (perform other duties as assigned): Collaborate with teams across the organization to develop new planning processes for mapping out and achieving event logistics needs for each season. Execute virtual and live experiences, including but not limited to YoungArts Week, Labs, performances, exhibitions, the Anthology, campus activities, national expansion gatherings, works-in-progress events, YoungArts galas, and other opportunities for artists to develop and share their work, ensuring that all event planning and logistics align with organizational values and growth goals. Collaborate with Artistic Programs team to ensure successful cross-team integration of event logistics. Collaborate with Programs Team and Finance to research, recommend, and solicit bids from venues and service providers in the hospitality sector who are aligned with YoungArts’ programmatic needs. Manage and maintain strong working relationships with hotels; facilitate contracts, negotiate rates and rooming lists for programs. Inspect venues to ensure that they meet the program requirements, including ensuring accessibility and necessary safety features for participants. Research and manage event ground transportation, and coordinate with established YoungArts travel agency on air travel. Identify and manage meal planning with food service providers that adhere to allergy and medical conditions of all participants. Organize team-building events throughout the season, including the celebration of season milestones and the annual programs team retreat. Collaborate with Operations to oversee the campus Space Grant program ensuring appropriate partnerships are determined along with associated costs of production. Manage database records for potential rental spaces. Collaborate closely with Equity, People, and Culture, Finance, and Operations departments to refine all contract, payment, and invoice processes on behalf of the Artistic Programs and Operations Departments. Support budget reconciliation with Director, National Competition and Director Operations. Collaborate closely with all departments to organize the season calendar and plan resource distribution opportunities and public-facing events.

Qualifications and Experience Requirements:

Credentialing Requirements:

Bachelor’s degree or the equivalent in education and experience 5+ years of progressive experience managing high-performing teams and evidence of responsibility growth in the arts and culture field Experience beyond requirement will be considered in lieu of education requirement Working conditions, typical physical/mental demands: YoungArts physical campus and headquarters are in Miami, FL. Work is performed in a hybrid (virtual and in-office) setting. Typical operations take place in an office environment and/or in an event/venue setting. General working hours are 9:00 am-5:00 pm, Monday through Friday. The nature of our work will sometimes require an adjustment to this schedule, including evenings and weekends. You will normally be advised in advance should your work schedule be adjusted. Travel will be required.
