With our Agency’s mission to support the recovery of people with mental illnesses, we provide a complete array of medical and support services for children, adults, and families throughout South Carolina.
This position is located at the Department of Mental Health Crafts-Farrow, 7901 Farrow Rd, Columbia, SC 29203.
As the Administrative Specialist II, working under general supervision, you will perform a variety of administrative support and clerical/office duties: answer phone calls; take messages; compiles and maintains departmental files and records. Proficient using Microsoft Office. You will be responsible for requisitioning, and payments for: dry goods, janitorial goods and services; stocked and non-stocked supplies using state credit card, SCEIS, SAP, and SRM. You will create shopping carts for Inpatient Services/ Northeast facilities and all other related tasks as assigned.
Responsibilities for the Administrative Specialist include but are not limited to:
Credit Card Liaison for Inpatient Services facilities. Accountable for requisitioning and verification of deliveries and payments (invoices) of credit card purchases using SCEIS, SAP and SRM software applications. Collects itemized invoices from vendors (packing slips) from credit card holders, retaining all itemized purchases for external and internal audits.
Creates shopping carts, credit card, and purchase orders requisitions submitted by Inpatient Services customers for office supplies, non-stock and stock supplies, janitorial supplies, dry goods, and services. Requisitions include but are not limited to: local and state contracts; and non-contractual quotes to include internet purchases. Monitors requisitions to provide current status when requested, ensuring extended cost, freight, and South Carolina Taxes are included at the time of sale, and corrects mistakes as needed.
Administrative Time Keeper; Serves as central time keeping for personnel assigned to Materials Management Department/ Northeast Campus. Manages and forecast employees leave request.
Processes receipts for office and janitorial medical supplies, and various types of goods and services for deliveries by Supply, FedEx, UPS and all other commercial carriers. Ensures all bills of ladings, packing lists, invoices and all documentation are collected and processed for payment. Packages segregated are set aside for delivery and signature for receipt of property for accounts payable with Finance office.
Maintains office and departmental supplies. Ensures all departmental filing and requisition documents are accurate, maintained, and current. Point of contact for telephones, copiers, hardware/software updates applicable to Microsoft Office, Outlook, SAP, SRM, and ECC productions.
Minimum and Additional Requirements
A high school diploma, and one (1) year of clerical experience, or an associate’s degree in Secretarial Science, or related field, or two years of clerical experience. Additional Comments
Possess the necessary knowledge to effectively perform tasks and follow all procedures accurately. Ability to identify problems, analyze and recommend alternate solutions. Works effectively and cooperatively with others to achieve organizational goals. Punctuality and reliability in meeting deadlines are essential. The selected candidate must be self-motivated, willing to accept new challenges and training opportunities, and possess exceptional computer skills. May require ability to type at a corrected rate of 35 WPM.
