Full-Time Job Purpose:

To provide comprehensive administrative support to the Fleet Technical Operations shore base team, ensuring smooth coordination of documentation, reporting, inventory management, and operational logistics. The role involves assisting in the management of technical records, procurement support, compliance documentation, and communication with vessels and external stakeholders.

Key Responsibilities:
Administrative Support:

Maintain and update vessel documentation, certificates, manuals, and logs. Coordinate deliveries and transport arrangements, meetings, and scheduling for technical resources. Handle correspondence with suppliers, contractors, service providers, and vessel crew.

Technical Documentation:

Organize and archive technical reports, inspection records, and class survey data. Ensure timely filing and distribution of safety, maintenance, and compliance documentation.

Procurement & Logistics:

Support requisition processes, including data entry into procurement systems. Assist in tracking orders and deliveries of spare parts and technical equipment. Liaise with procurement and logistics teams to ensure timely dispatch and receipt of items.

Inventory Management:

Maintain accurate records of equipment and consumable inventories for both spare parts and consumable stock. Monitor stock levels, coordinate reordering processes, and support inventory reconciliations. Assist in periodic inventory audits and reporting for compliance and operational readiness.

Vessel Operations Monitoring:

Track and record vessel arrivals and departures at Port Everglades and other relevant ports. Communicate arrival/departure information to internal stakeholders and support planning of technical attendance, maintenance or inspections. Maintain active communication with vessel agents at Port Everglades and in foreign ports to coordinate port activities, ensure timely exchange of operational updates, and support compliance with local port requirements.

Compliance & Safety:

Monitor due dates for dry-docking, audits, inspections, and certification renewals. Support internal and external audit preparations by organizing the necessary documentation.

System Maintenance:

Update and maintain databases such as PMS (Planned Maintenance System), purchasing platforms, inventory records, and document control systems.

Communication:

Act as a liaison between the technical office and vessels, ensuring effective flow of information. Draft and circulate internal memos and notices as directed.

Key Requirements:
Education & Experience:

Diploma or degree in Business Administration, Maritime Studies, or related field. Prior administrative experience in a maritime, offshore, or engineering environment is preferred.

Skills:

Strong organizational and time-management skills. Excellent verbal and written communication abilities. Proficient in MS Office Suite (Word, Excel, Outlook). Familiarity with maritime documentation and technical terms is an advantage. Experience with inventory management or stock control systems is beneficial. Ability to work under pressure and manage multiple tasks. Fluency in English and Spanish, both verbal and written, is required.

Desirable Attributes:

Knowledge of

ISM/ISPS/MLC

documentation processes. Experience using ERP or fleet management software. Attention to detail and accuracy in maintaining records. Team player with a proactive and flexible attitude. Willingness to wear safety cap and coveralls when visiting vessels, storage facilities or operational areas.
