Leadership Full Job Description Summary:
Designs, implements, analyzes, and continuously improves office procedural processes. Indirectly supervises the clerical support team, including planning, implementing, and managing clerical support activities and workload in the department. Maintains software applications as necessary to support the management information system, reporting requirements, and evaluation of the program. Processes regular invoices, reports, and supporting documentation for purchasing activities. Acts as the financial secretary, managing operating expenditures and assisting in budget projection processes, filing required financial reports, and planning. Assists Transportation Support Services Manager and Support Services Director in a wide variety of duties.
Essential Duties:
(These duties represent a sample and may vary by position.) Develops and generates monthly budget projection spreadsheets, assists in developing and amending department budgets, assists in recording, tracking, and monitoring expenditures, prepares and processes related complex reports. Develops and implements operations and activities of the Director’s office, provides ongoing analysis and recommends improvements and modifications, documents activities, develops a procedure manual, prepares various reports on operations and activities. Receives, examines and maintains a variety of reports, processes forms and requests for information, prepares and distributes correspondence. Compiles and organizes data from multiple sources while maintaining and producing complex reports. Creates and maintains databases necessary for program operation. Updates and maintains Employee Demographics in Time Capture System. Delegates and oversees completion of projects by clerical staff. Provides leadership to team. Indirectly supervises clerical staff and provides operational guidance to program. Administers day-to-day office operations, meeting all deadlines. Assists with selection and training of clerical staff. Assists parents and school administrators with questions and concerns. Keeps accurate records of all documents for required record retention and audit purposes. Performs administrative duties within the Director level support systems; responds to complaints and requests for information regarding office procedures, systems and precedents related to assigned responsibilities; receives and routes mail. Types and proofreads a wide variety of reports, letters, memos and statistical charts; types rough draft; verbal transcription; independently composes correspondence related to assigned responsibilities. Performs general clerical work including filing, scheduling appointments and meetings; processes payroll, accounts payable, accounts receivable, reimbursement requests, receiving reports and enters requisitions. Acts as financial secretary, P-Card coordinator and Payroll Coordinator Utilizes positive human relation’s skills to interact with parents, schools and other CMS staff in fulfilling requests for assistance as appropriate. May assist in training and monitoring the work of temporary secretaries; may assist in providing training to other clerical staff as appropriate. Orders, stores and issues supplies and material pertinent to the function to which assigned; maintains office supply inventory records. Reviews reports and documents for completeness and accuracy. Updates office equipment as necessary. Reports equipment problems to appropriate departments. Maintains overall appearance of office environment. Performs other related duties as assigned.
Education and Experience:
