Job Summary The Fleet Service Coordinator is responsible for overseeing the maintenance, repair, and overall management of the company’s vehicle fleet. This position ensures the operational readiness and compliance of all fleet vehicles while optimizing costs and maximizing efficiency. The ideal candidate will have strong organizational skills, technical knowledge of vehicle maintenance, and excellent communication abilities. Key Responsibilities Fleet Maintenance Coordinator Develop, implement, and maintain preventive maintenance schedules for all fleet vehicles Coordinate vehicle servicing, repairs, and inspections with company mechanics or external service providers Track vehicle maintenance history and anticipate future maintenance needs Troubleshoot vehicle issues and determine appropriate repair actions Ensure all vehicles meet safety standards and regulatory requirements Organize, maintain and manage parts and supply inventories so services and repairs can be completed in a timely manner Administrative Duties Maintain comprehensive fleet records including warranties, and service histories Maintain accurate parts and supply inventory systems Process documentation for vehicle acquisitions and disposals Manage vehicle assignments and track vehicle utilization Develop and monitor fleet operations budget Generate regular reports on fleet performance, costs, and utilization of metrics Implement and maintain fleet management software systems Vendor Relations Negotiate with vendors for parts and services Establish and maintain relationships with service providers, dealerships, and parts suppliers Review and approve invoices from vendors Ensure quality of outsourced maintenance services ComplianceSafety Ensure all regulated vehicles comply with DOT regulations and company safety policies Coordinate and track vehicle inspections, registrations, and permit renewals Implement driver safety programs and vehicle operation guidelines Work with Safety Director on post-accident inspections Stay current with industry regulations and compliance requirements Team Leadership Supervise and train fleet maintenance personnel (if applicable) Coordinate with drivers and the dispatch team regarding vehicle issues and maintenance schedules Collaborate with department managers to meet their transportation needs Provide guidance on proper vehicle usage and care Cost ControlOptimization Analyze fleet operational costs and implement efficiency improvements Recommend vehicle replacement strategies based on lifecycle cost analysis Evaluate and implement fuel management programs Identify opportunities for fleet rightsizing and optimization Qualifications Required Qualifications A clean driving record (no more than 3 points), CDL is a plus. Able to pass pre-employment drug test and random drug and alcohol tests. We are a Drug Free Workplace. Ability to adjust to work schedule and business needs. Minimum five (5) years’ experience in Logistics, Automotive Technology, or related field 3+ years of experience in fleet management, automotive service management, or related field (management experience in a commercial vehicle facility is a plus) Strong knowledge of vehicle maintenance, repair procedures, and preventive maintenance practices Experience with DOT regulations and compliance requirements Technical competence with light/medium/heavy duty vehicle repair Excellent organizational, problem-solving, and time management skills Strong verbal and written communication abilities Preferred Qualifications ASE (Automotive Service Excellence) certification Knowledge of vehicle procurement, lifecycle planning, and remarketing Experience with sustainable fleet practices and alternative fuel vehicles Background in logistics, transportation, or supply chain management Working Conditions Primarily office-based with regular visits to maintenance facilities, vendor locations, and field operations May require occasional evening or weekend availability for emergency situations Some travel may be required to multiple company locations Exposure to shop environments, including noise, fumes, and moving equipment Physical Requirements Ability to inspect vehicles, which may involve bending, stooping, and limited climbing Occasional lifting of up to 25 pounds Extended periods of computer use for data entry and analysis CompensationBenefits Competitive salary commensurate with experience Comprehensive benefits package including medical, dental, and vision insurance 401(k) retirement plan with company match Paid time off and holidays Professional development opportunities How to Apply You must respond to this ad and submit the following for consideration and review: Resume Driver’s License.
