Position Description Position:
Shipping and Receiving Coordinator Position Summary:

Ensure timely and accurate processing of orders according to prescribed procedures. Prepare and ship re-supply orders for consigned customers monthly. Receive and inspect all incoming products physically, manage product storage and complete all necessary paperwork. Manage product inventory levels, maintain inventory counts and monitor and order all shipping supplies. Maintain warehouse space to ensure complete operational readiness. Order and invoice entry, reconcile orders/shipments, manage customer product returns and monitor retail logistics in various systems. Assist with customer service tasks.

FL Objective:
Assure every order is processed in a timely manner and in accordance with company standards, contributing to a positive and successful experience for our customers. This position’s specific responsibilities are in several general categories:
Shipments:
Ship orders utilizing ShipStation software, Brother P-Touch label maker and SPS Commerce EDI software
- Process 75 -100 consumer, dental office and retail orders daily, resolving order processing and shipping issues as they arise
- Pull and pick orders with a high level of accuracy by cross-checking items pulled to order details. Match products to orders by SKU. Identify opportunities to increase efficiency and minimize errors
- Reconcile orders/shipments daily to ensure all orders have processed through shipping and have been booked as sales in accounting software (QuickBooks), assigning lot numbers as needed
- Utilize CRM (HubSpot) to enter orders received via email and SPS EDI for distributor and retailer orders
Receiving and Inspection:
- Receive incoming orders of finished inventory, operating electric pallet lift to move product
- Inspect incoming shipments using company processes
- Optimize warehouse space when rotating different product lots
- Complete product receiving spreadsheets and upload documents to appropriate systems

Inventory Management:
Manage the daily/monthly inventory of products and shipping supplies, collaborate with Supply Chain for necessary product transfers, perform month-end inventory reconciliation and order supplies
- Monitor product inventory levels for unexpected transfer needs and to ensure adequate quantities of product are on hand to meet order demands
- Maintain accurate inventory counts
- Manage the product retains and ship for testing as directed by Quality Team
- Monitor and order all supplies, ex. Printer toner, shipping supplies
- Monitor inventory levels of all marketing assets; inform Customer Experience Leader of any low inventory levels
Warehouse Management:
- Monitor, evaluate, advise and initiate contact for all maintenance, to include HVAC service, trash and recycle services, fire extinguisher certification, alarm system, temperature control
- Primary contact for property management/landlord
- Monitor and complete weekly report for storage temperature
- Maintain an organized and clean workspace and warehouse with clearly identified areas for both products and supplies, maximizing existing space
Administrative:
- Invoice entry – utilize SPS EDI for invoicing appropriate retailers
- Customer product returns – complete disposition and process transaction in HubSpot
- Monitor retail logistics in Traverse system for on time, in full (OTIF) shipping issues and pull supporting documents to create dispute
- Monitor debit memos in SPS EDI for product received shortages and pull supporting documents to create dispute
- Support the growth of the business by performing miscellaneous administrative tasks as needed

Education & Experience:
- Minimum of two years Order Fulfillment experience in an e-commerce environment
- Shipping programs such as ShipStation
- E-commerce platforms such as Woo Commerce
- Microsoft Office applications: Outlook and Excel
- High School Diploma or GED is required, some college preferred
Physical Demands & Work Environment:
- Ability to lift 50 pounds when needed
- Ability to work on feet (standing) for 50% or more per day
- Ability to operate an electric pallet jack
Pay:
Hourly $20.00 to $25.00
