Full Job Description Shipping Window Coordinator Job Summary:
The Shipping Window Coordinator is responsible for managing the check-in and check-out process for truck drivers. This role ensures accurate documentation, efficient communication between drivers and warehouse staff, and the smooth flow of inbound and outbound freight.
Key Responsibilities:
Greet and assist truck drivers as they arrive at the facility Verify and process driver documentation such as bills of lading, load manifests, and delivery receipts to ensure accurate recordkeeping and load tracking. Coordinate loading dock assignments and communicate instructions to warehouse or yard personnel Maintain accurate records of arrivals, departures, and load information in the company’s logistics system Communicate with drivers, warehouse teams, customer service representatives, and transportation providers to ensure timely pickups and deliveries Answer internal phone calls and respond to inquiries related to freight, appointments, or delays Ensure compliance with company policies, safety procedures, and DOT regulations {C}{C}Prepare reports related to shipping and receiving activities as required Assist with data entry and filing duties
Qualifications:
High school diploma or equivalent Prior experience in shipping, logistics, or customer service role preferred Basic knowledge of transportation documentation (bills of lading, manifests) Computer proficiency (e.g., Microsoft products, SharePoint) Strong organizational and communication skills Ability to work in a fast-paced environment and handle multiple tasks Bilingual (English/Spanish or other) useful, but not required
