Warehouse Assistant Housing Authority of the Town of Laurinburg Laurinburg, NC 28352 Position Summary Under general supervision of the Accounting Director, performs various duties in the procurement, inventory and related areas: including but not limited to functions related to work orders and purchase orders. Duties include receiving goods and material into the warehouse; data entry for records associated with inventory and use of inventory, date entry for completion and review of work orders for accuracy of materials and cost. Responsibilities include following all rules and regulations regarding Housing Authority policy and federal regulation within the assigned responsibilities. Individuals may perform other duties as assigned including work in other functional areas to cover absences or relief, to equalize peak work periods or otherwise balance the work load. Input work orders in SACS; process completed work orders, ensuring all inventory items and labor is included as well as associated cost. Assist with purchasing by securing quotes, obtaining proper approval and generating purchase order. Track purchase orders through receiving process and submit all appropriate documentation to supervisor for review. Assist with evaluating and updating materials list and re-order points. Assist with maintaining and tracking materials inventory. Utilize computerized system for materials inventory and small equipment inventory. Maintain equipment warranty information. Assist with maintaining materials safety data sheet (MSDS) file to help ensure chemical inventory is current at all times and MSDS sheets are up to date. Complete monthly Motor Fuels Tax Report and submit to NC Department of Revenue. Assist with keeping the materials section of the warehouse neat. Prepares various reports, performs file maintenance and documentation and performs accounting and computer documentation preparation. Assist with vehicle maintenance records and reports. Generate purchase order for vehicle inspections and routine maintenance for all vehicles. May assist with routine inspection of vehicles. Assist with issuing and tracking small equipment and report any damage and/or misuse to supervisor. Perform related duties as assigned. Required Knowledge and Abilities 1. Knowledge of the general operations and procedures of a Public Housing Agency (PHA). 2. Knowledge of construction and maintenance of residential buildings including code requirements. 3. Knowledge of the local, state, and federal laws governing public and other subsidized housing programs including health and fire regulations, landlord/tenant regulations, leasing of property and evictions. 4. Knowledge of report preparation techniques and procedures and a demonstrated ability to prepare and evaluate professional and technical reports, grant applications, and other documents. 5. Knowledge of modern office equipment including copiers, personal computers, calculators, facsimile machines, etc. 6. Ability to plan, prepare and present ideas and projects in a clear and concise manner, both orally and in writing. 7. Ability to establish and maintain effective working relationships with co-workers, consultants, contractors, residents, HUD, the general public, and local, state, and federal officials; ability to communicate with people from a broad range of socio-economic backgrounds. 8. Ability to work in less than ideal conditions, e.g. noise, high traffic areas, etc. 9. Ability to develop computerized records utilizing specialized software and office programs such as Excel. Word and PowerPoint. Physical Requirements 1. Level of manual dexterity sufficient to allow for operation of typewriter, terminal keyboard, telephone, facsimile machine, calculator, etc . Ability to move, handle, or lift small objects around desk area, e.g. files, computer printouts, reports, calculator, pencils, legal pads, etc. 2. Ability to make routine repairs in residential units and to handle parts and materials in the processing and storing of inventory and small equipment. 3. Ability to physically access all units and effectively maneuver through the units. Ability to participate in maintenance work when necessary to assist staff or to train staff. 4. Ability to bend, stoop, kneel, crawl and lift moderately heavy items. Ability to enter crawl space, attic space and roof top areas of buildings. Minimum Education, Training and/or Experience 1. Graduation from high school supplemented by two years of college with course work in property management, construction management, business administration or related field; and 2. Three (3) years of experience in property management, construction, subsidized housing or related field. 2. Any equivalent combination of education, training, and experience which, in the sole determination of the Housing Authority, provides the required knowledge and abilities may be considered sufficient. 3. Must have excellent computer skills including. Ability to quickly learn agency software and to use the HUD on line Computerized system. Must also have good math skills to make calculations related to maintenance work and to statistical reporting. Special Requirements 1 Possession of a valid driver’s license. 2. Ability to be bonded. 4. Ability to secure job related certifications.
