Job Description
JOB DUTIES
Respond to requests for records from departments that have records stored at Mill Run, accurately and within appropriate time frame. File records returned to Records Storage accurately and timely. Incorporate new records into the Records Storage filing system. Ensure that records are labeled correctly with an accurate destruction date and are entered correctly into the VCK system. Works with departments on determining what records should come down to Records Storage and the recommended purging of their records. Track records that are eligible for destruction and send proper paperwork to the department managers seeking permission to destroy the records. Follow-up with the departments that is necessary to ensure destruction of records when appropriate. Accurately track the communication with the department managers on the destruction of records. Take steps needed for records to be destroyed. Complete regular QA of the VCK system and the records stored at Mill Run to ensure that the records on the shelf are accurately recorded in the VCK system. Consolidate and organize records as appropriate. Scan prepared medical records into Meditech SCA electronic record system ensuring high quality image and meeting productivity and quality standards. Index medical documents into the correct document location in Meditech meeting quality standards. Accurately enter birth certificate data into Vital Statistics registry. Follow up on any information missing from the birth certificate worksheets. Serve as backup in ROI (release of information) process following applicable rules and regulations (HIPAA). Replenish departmental dressing carts on a scheduled basis. Maintain accurate inventory of dressing carts. Communicate changes with department leaders. Assist in Storeroom as needed. Performs other duties as assigned.
MINIMUM EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
High School diploma or equivalent. Must be able to read and write and follow written and oral directions. Must be able to communicate clearly with other members of the healthcare team, customers, and guests. Requires judgment and alertness. The ability to organize time, prioritize, and concentrate.
