Non-Exempt Summary:

The RMA Coordinator is responsible for managing the Returned Material Authorization (RMA) process, serving as the primary interface between the company and its customers. This role involves planning and executing activities to meet company objectives related to customer RMA contractual turn times, ensuring exceptional customer service and satisfaction. The RMA Coordinator will also support internal teams by providing crucial data and coordinating resources to resolve quality-related issues.

Essential Duties and Responsibilities:
RMA Management:

Issue RMAs and act as the primary customer interface for all incoming and outgoing RMAs. Maintain RMA reporting for customers from issue, receipt, defect analysis, shipping, and costing. Initiate and provide quotes to customers for non-warranty returns. Track and report status on incoming and outgoing RMAs. Work with customers to resolve issues found during RMA receipt.

Planning and Coordination:

Develop detailed RMA work-cell schedules that balance customer delivery requirements and capacity. Utilize data, modeling, and planning tools to provide delivery commitments for RMAs. Analyze material requirements to identify shortages and establish corrective actions. Communicate with and support supply chain partners to meet delivery commitments.

Customer Relationship Management:

Serve as the primary interface between the company and the client, coordinating internal resources to support financial and growth objectives. Pursue relationships with potential new accounts and seek business expansion opportunities with current clients. Provide sales quotations and respond to requests for proposals.

Quality and Process Improvement:

Analyze root causes of planning and execution process failures and recommend corrective actions. Coordinate internal resources to resolve quality-related issues, including continuous improvement requests and root cause analyses.

Finance and Forecast Management:

Ensure customers are paying invoices on time. Prepare and analyze revenue forecasts, reviewing variances to revenue targets versus actuals.

Education and Experience:

Alternatively, five years of related experience and/or training, or an equivalent combination of education and experience.

Preferred Qualifications:

Physical Demands:

Regularly required to talk or hear. Frequently required to stand, walk, use hands to finger, handle or feel, and reach with hands and arms. Must frequently lift and/or move up to 50 pounds. Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment:

Operates in a professional office environment. Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The noise level in the work environment is usually moderate. Working hours are Monday through Friday, 8 A.M. to 5 P.M.
