The ideal candidate will be proactive, detail-oriented, and capable of managing multiple responsibilities across departments.

Administrative Operations:

Maintain a professional and welcoming office environment by ensuring the office is opened promptly and remains fully operational during business hours (8AM-5PM). Answer incoming calls with professionalism and urgency, providing accurate information and routing inquiries appropriately. Perform light office upkeep to ensure a clean, organized space that reflects the company’s commitment to professionalism and customer comfort, as well as supporting team efficiency. Plan, organize, and coordinate company functions such as meetings, luncheons, employee gatherings, and company outings – ensuring details are handled seamlessly. Manage seasonal and event-based initiatives such as coordinate vendor and employee holiday gifts, cards, and related events.

Customer Relations & Dispatch Support:

Support a seamless customer journey by helping to schedule service calls efficiently and accurately Actively assist in resolving customer concerns with professionalism and empathy, aiming for satisfaction and long-term loyalty. Ensure all customer-facing communication – whether verbal, written, or digital – is clear, prompt, and helpful. Monitor technician schedules and job progress through GPS and dispatch software, ensuring timely service and clear communication between the office, field team, and customer. Collaborate with the service department to manage and meet customer expectations through regular status updates and transparent communication. Membership Coordination Ensure all new installations and eligible customers are enrolled in appropriate maintenance memberships at the end of each month by reviewing completed jobs and initiating setup through ServiceTitan. Maintain a proactive maintenance schedule for membership customers by reaching out in advance of due dates and coordinating service appointments in a timely, customer-focused manner. Track and manage recurring billing for monthly and annual membership plans, ensuring payment schedules remain consistent and accurate within ServiceTitan. Regularly audit membership data to ensure all records are current, active, and properly categorized, following up with customers when billing or scheduling issues arise. Develop strong customer relationships through consistent personalized communication that reinforces the value of their membership and encourages long-term loyalty.

Marketing and Brand Engagement:

Lead internet marketing efforts by facilitating and transferring requested data to vendors, as well as approving or sending corrections for ads and campaigns Monitor marketing budgets and ad spend Develop engaging content for organic marketing efforts through Facebook, Instagram, Bulk Messaging, etc. Design visual assets including graphics, brochures, flyers, and internal tools using tools like Canva. Oversee direct mail campaigns, ensuring accurate targeting, timely delivery, and consistent branding. Collaborate with local advertising vendors to create, proof, and finalize ad content, to ensure compelling campaigns that align with company goals. Identify local sponsorship and event opportunities, coordinate the company’s involvement, and manage on-site logistics, including setup, staffing, and promotional activities. Manage inventory and ordering of marketing supplies, including branded giveaways, contest prizes, games, and decorations for public and internal events Attend occasional evening and weekend events, managing event staff and ensuring the company’s successful participation.

Skills and Qualifications:
