Palm Harbor, FL | In-Person | 35k-45k per year About the Role We’re hiring a Scheduling Coordinator to help keep our office running smoothly and our customers feeling supported from start to finish. This is a fast-paced, detail-heavy role where solid communication, great follow-through, and strong personal organization will set you apart.
This position is best suited for someone who loves people, loves to talk, and knows how to connect with others. You’ll be on the phone A LOT; answering questions, confirming details, and making sure nothing slips through the cracks. It’s also ideal for someone with sales or customer service experience, a self-starter attitude, and the kind of brain that naturally looks for better ways to do things.
Spanish-speaking is a big plus, but not required. What You’ll Be Doing
- Talking to customers every day, facilitating communication, confirming appointments, following up, collecting payments, or just making sure clients are happy
- Managing calendars for multiple team members and organizing appointments for estimates efficiently. BIG plus if you know the northern Pinellas area very well
- Returning missed calls (even with no voicemail), ideally within 5 mins
- Handling inbound and outbound communication by phone and email
- Tracking job progress (from estimate → approval → scheduling → completion)
- Supporting permit paperwork and coordinating scheduling needs (training provided)
- Keeping things organized and updated across systems, checklists, and spreadsheets
- Assisting with marketing tasks (like email/text follow-ups or preparing flyers) What We’re Looking For
- Someone with previous sales or customer service experience
- A people-person who genuinely enjoys talking to others and builds rapport easily
- Organized, self-motivated, and comfortable working independently
- Able to think on your feet and solve problems with a calm, professional attitude
- Comfortable with spreadsheets (Excel or Google Sheets) and staying on top of details
- Shows up on time, owns their responsibilities, and follows through What You’ll Get
