Service Coordinator/ Process Analyst Atreo (Aerocom Systems) 4052 Thurmon Tanner Parkway, Flowery Branch, GA 30542 Job Summary We are seeking a detail-oriented Service Coordinator/Process Analyst to evaluate, design, and implement operational procedures in our customer service workflows. This is a dual role providing Service Coordinator and Process Analyst support. The Process Analyst responsibilities include understanding and mapping existing processes, identifying areas of potential improvement, and developing solutions for efficiency and effectiveness. This Service Coordinator responsibilities include ensuring efficient service delivery by managing schedules, coordinating with clients, and supporting the service team. This role contributes to customer satisfaction and operational efficiency by streamlining communication and logistics. The ideal candidate will have strong analytical skills, a working knowledge of process improvement methodologies, and the ability to work collaboratively with key stakeholders to drive process changes. Responsibilities of the Service Coordinator Role Schedule and dispatch service technicians for maintenance and repair work on pneumatic tube systems for our healthcare and non-healthcare clients. Coordinating and scheduling services or appointments for clients. Provide information and assistance to customers, answering their questions and addressing concerns. Maintain accurate records of service requests, work orders and client interactions. Identifying and implementing strategies to improve service delivery and customer satisfaction. Monitor inventory level of parts and supplies needed for services. Assist in preparing reports on service activities and performance metrics. Collaborate with the project management team to ensure seamless customer experience. Daily contact with customers on the phone. Troubleshooting the incoming service issues to determine the best resource to correct the deficiency and dispatch as needed. Provide support to contractors and technicians as needed. Supervising the call dispatching procedures. Parts ordering and tracking. Control parts inventory and complete inventory documentation in a timely manner. Supervise the completion of time and expense reporting. Control expenses and time per company policy. Process incoming work orders for billing. Providing training and guidance to service staff to ensure high-quality service delivery. Responsibilities of the Process Analyst Role Analyze current customer service processes and workflows to identify opportunities for improvement Develop and implement new processes, monitor outcomes, and adjust as necessary Create process documentation/workflows and standard operating procedures (SOPs). Provide process-related support to stakeholders and facilitate process workshops Develop metrics to track the effectiveness of implemented process improvements Collaborate with departmental managers to establish and maintain controls and standard operating procedures Promote a culture of continuous improvement within the organization Qualifications Proven work experience as a Process Analyst or similar role Proven work experience as a Service Coordinator or similar role. Experience in business process analysis, workflows, and process mapping Knowledge of process improvement methodologies and tools Strong analytical and problem-solving skills Excellent organizational skills for managing schedules efficiently. Excellent documentation skills and attention to detail Strong understanding of customer service principles. Strong communication and presentation skills Ability to handle stressful situations and remain calm. Proficiency in using scheduling software or CRM system. Knowledge of Spectrum a plus. High School diploma required, Bachelors in related field preferred.
