Administrative Support Worker Job Summary The Group Experience Coordinator is an energetic learner and team player who is responsible for coordinating all logistics around the museum’s birthday and field trip group visit experiences including scheduling, correspondence and effective communication with parents and educators. The Group Experience Coordinator oversees and has hands on management of the field trip experiences during weekdays and welcomes groups upon arrival, provides an orientation, facilitates group rotations, assists museum staff in monitoring the group field trip experience, and serves as the on-site liaison between the field trip guests and museum staff. The coordinator oversees and has hands on management of the birthday experience on weekends and ensures an extraordinary experience for each child celebrating with LCM. This position oversees the check-in process, initiates and coordinates all correspondence including payment, works with the onsite caterer, is the daily supervisor of assisting staff and manages customer service requests as they arise. Responsibilities and Duties Promote the culture and brand of LCM. Project a positive image of the organization to employees, volunteers, guests, and the community. Manage all reservation requests and inquiries for birthday parties and field trips. Achieve sales goals with outbound customer engagement to secure birthday party/field trip bookings, and memberships. Provide high-quality customer service throughout the booking process for birthday parties/field trips, and membership renewals. Coordinate with the Visitor Services team to ensure they have all field trip booking documentation before group arrival. Ensure all required pre/ post field trip communication is drafted and sent out in a professional and efficient manner. Ensure all groups and parties receive and understand LCM reservation policies and enforce them as needed. Problem-solve customer service issues that arise with parties, field trips, and memberships and provide excellent customer service in a timely manner. Develop and manage the LCM Birthday Club. Pull email lists and send monthly email reminders. Liaison with Acorn Dickie Brennan’s staff, the Group Experience Coordinator, Visitor Services Manager, and Birthday Hosts to coordinate birthday party supply inventory needs, catering needs, and process orders for birthdays and field trips. Provides support, trains, and coaches for LCM birthday hosts. Provides schedules and coordinates specifics for each birthday to each birthday host. Greet party families and field trips at check-in, escort them to the Celebration Rooms, and introduce them to applicable staff. Prepare the Celebration Rooms by ensuring cleanliness, replenishing all supplies as needed, and verifying all birthday/field trip supplies are prepared before and after all scheduled bookings. Assist in cleaning up birthday and field trip spaces and museum exhibits. Step in as a Birthday Party Host or Play Facilitator as needed. Collect data, track birthday party/field trip booking and membership statistics and prepare reports. Assist with the birthday party and field trip experience as needed. Collaborate with the Museum Experience Manager, Play Facilitators, Visitor Services Manager, Visitor Services Associates and Birthday Hosts. Other duties as assigned Minimum Qualifications High School Diploma or equivalent At least 2 years of customer service experience At least 1 year of database management experience At least 1 year of experience in a special event / planning space At least 1 year of work experience in a child and/or family setting Excellent interpersonal, customer service, time-management, communication, organizational, analytical, multitasking, problem-solving, and decision-making skills Proficient in MS Office 365 Suite Must be available to work weekends and after-hours events Physical Requirements Must be able to sit and stand for long periods of time.
