We are looking to grow our team by adding a talented Scheduling Administrator to our operations office.

Job Summary:

Iron Tree Service is seeking a highly organized, detail-oriented, and proactive Scheduling Administrators to support daily operations and administrative functions. This role is essential to ensuring efficient communication, accurate reporting, and smooth scheduling and customer service processes. The ideal candidate is skilled in Excel, comfortable handling multiple data streams, and enjoys working both independently and as part of a team.

Key Responsibilities Scheduling & Customer Communication:

Send out reminder emails to customers with upcoming scheduled work. Provide halfway check-in reminders for customers awaiting service. Call customers with schedule dates and log responses. Follow up on necessary permitting with customers and sales reps. Respond promptly to incoming customer calls and emails. Conduct follow-up related to customer support, consent forms, and service feedback.

Administrative & Reporting Tasks:

Maintain and update all approved and scheduled work. Scan and rename completed stump grinding jobs for digital recordkeeping. Create and manage various internal reports. Update and audit folders to ensure accurate filing of completed paperwork. Filing paperwork. Monitor and manage duplicate entries in our CRM software.

Operational Support:

Track and log new man-hours and update foreman property damage spreadsheets. Record and manage customer support updates, including photos and labor time. Collect signed or written approvals from clients as required. Input CDL study and certification data into internal tracking spreadsheets. Maintain and audit inventory of crew clothing and safety gear. Support company event needs, including ordering and organizing branded merchandise.

Qualifications:

2+ years in an administrative, operations, or customer service role. Proficiency in Microsoft Excel and comfort with data entry and report generation. Strong attention to detail and excellent organizational skills. Excellent verbal and written communication abilities. Ability to manage multiple tasks and deadlines efficiently. Experience with CRM software (e.g., Pipedrive) is a plus.
