The Care Access Authorization Coordinator is responsible for processes within all Care Access’ pre and authorization cycles for all Vitra’s programs. They collaborate closely with managers, providers’ offices and staff to ensure clients experience a seamless process to enroll in all services provided by Vitra. The role facilitates all authorization processes while supporting team members and collaborating with leadership.

Essential Functions:
- Demonstrates mastery of online authorization systems, insurance company requirements and status review
- Demonstrates the ability to track in-process authorizations from multiple sources.
- Able to triage, train and coach team members to process necessary documentation to expedite approvals and ensure that appropriate follow-up is performed.
- Reviews accuracy and completeness of information requested and ensures that all supporting documents are present, and tasks are assigned and or completed correctly.
- Strong understanding of Vitra Health program offerings, competitive advantages, and operational workflows
- Maintain professional communication with prospective and current clients through various channel upholding confidentiality at appropriate intervals and with consistency.
- Coordinates authorizations, denials and works with clinical team to resolve issues.
- Coordinates client data with Revenue Cycle team to respond to changes in eligibility and authorization.
- Collect and confirms relevant consumer and caregiver information.
- Support all steps of the intake process as needed, including leveraging regional resources to support consumer experience.
- Demonstrate and role models strong customer Service skills required to communicate with clients, family members, providers, and other health care providers, as well as insurance companies and team members in a positive and professional manner.
- Works efficiently with minimal supervision, exercising independent judgment within stated guidelines and policies.
- Serves as the liaison between MassHealth, insurance companies and physicians ‘office.
- Serves as the pre-auth/authorization cycle trainer and expert resource for new and current team members.
- Under the guidance of Care Access Manager (s) actively participates in process improvement initiatives and champions changes in a positive and constructive manner
- Escalates issues to manager(s) as appropriate.
- Maintain the highest standard of confidentiality for all protected health information.
- Fosters a culture of customer service and commitment to quality care.
- Serves as a brand ambassador for Vitra reflecting our vision, mission, and values.
- Shows a genuine interest and compassion for the communities we serve and commitment to the diversity of our clients and team members.
- Mentor and supports team members.
- Other duties assigned.
Education, Experience and Licensure Requirements:
- Second language strongly preferred.
- Bachelor’s degree is strongly preferred.
- 2+ years prior experience with sales, relationship management, or client enrollment preferred.
- 2+ years’ experience and complete comfort using Microsoft Suite
- Excellent problem-solving, customer service, and communication skills required.
- Prior experience with Hubspot, Salesforce, Optum, Wellsky, RingCentral or similar platforms preferred.
- Strong ability to take initiative and confidently directs client interaction.
- Knowledge of medical terminology
- Ability to multitask, learn new skills and adapt to change.
- Demonstrated ability to work independently, and willingness to work in the field if needed.
- Ability to withstand varying job pressures, organize/prioritize related job tasks, and excellent attention to detail.
- Adheres to client confidentiality.
Physical and Environmental Demands:
Works in a clean well-lit environment with fluctuating temperatures in close proximity to others.
Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.
Requires lifting and carrying equipment and supplies weighing up to 35 pounds; requires pushing and pulling equipment and supplies weighing up to 35 pounds; requires walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to negotiate stairs; requires visual acuity and manual dexterity to operate equipment.
