We’re looking for a Client Experience Coordinator to oversee our client intake, onboarding, satisfaction, and retention processes while actively building community partnerships to increase client referrals and engagement. This is a hands-on leadership role where you’ll supervise the intake team, improve client onboarding workflows, address client concerns, and cultivate external partnerships to boost community awareness and referral pipelines. This position is fully in-person at our Concord office and will be essential to helping our agency better serve individuals and families seeking mental health care.

Key Responsibilities:

Intake & Client Onboarding Oversight Lead the intake process to ensure clients are onboarded quickly, efficiently, and accurately. Oversee data entry, document collection, and service coordination to prevent delays or gaps in care. Identify and correct inefficiencies or bottlenecks in the intake process. Track and report weekly onboarding numbers, referral sources, and engagement trends. Leadership of the Client Experience Team Supervise, train, and mentor intake and support team members (including remote staff). Hold staff accountable for timely follow-ups, professional communication, and meeting onboarding goals. Provide hands-on coaching and problem-solving support to staff facing challenges. Serve as the point of escalation for client complaints or onboarding barriers. Client Satisfaction & Retention Management Conduct proactive client check-ins to monitor satisfaction and address concerns. Resolve complaints with care, urgency, and a commitment to maintaining client trust. Monitor client retention and follow up on disengagement or drop-outs to encourage re-engagement. Manage the client discharge process including coordination, communication, and documentation. Community Engagement & Referral Development Build relationships with community partners, referral sources, and allied organizations to increase client referrals. Represent the agency at community events, job fairs, health fairs, and outreach initiatives to raise visibility and attract clients. Coordinate partnership meetings, presentations, and outreach efforts to establish sustainable referral pipelines. Track referral trends and identify opportunities for expanded community partnerships. In-Office Client & Administrative Support Greet clients and visitors warmly and professionally at the Concord office. Answer incoming calls, manage appointments, and maintain organized front office operations. Support scheduling, filing, document preparation, and internal coordination. Maintain office supplies and support office readiness for daily operations.

What We’re Looking For:

High school diploma or GED required; college coursework or medical office training preferred. 1-2 years of experience in client service, intake coordination, patient support, or office administration (experience in mental health, healthcare, or human services a plus). Proven leadership ability —able to manage, train, and motivate a team toward goals. Excellent communication skills, both written and verbal. Strong organizational skills, attention to detail, and ability to multitask. Comfortable using client tracking systems, spreadsheets, intake forms, and other tech tools. Outgoing and proactive personality with interest in building community partnerships. Must be able to work fully in-person at the Concord office for all scheduled hours.
