As we expand, we’re looking for a detail-oriented and compassionate Part-Time Care Coordinator to support our administrative team and ensure every client has a smooth and welcoming experience. Position Summary This part-time role supports intake, client communication, and scheduling while helping to ensure no one slips through the cracks. You’ll also be responsible for verifying insurance benefits, handling basic billing questions, and supporting our client collections process. You’ll work closely with our full-time Care Coordinator and cross-functionally with our billing and leadership teams. Responsibilities Respond to new client inquiries by phone, email, and contact forms Follow up with potential clients who haven’t yet scheduled Reach out to clients on the waitlist when openings arise Schedule appointment overflow from the full-time coordinator Verify insurance benefits and document details clearly for the billing team Monitor aging client balances and send polite reminders Call or email clients with overdue balances and support them in resolving payment Prepare and send intake paperwork and appointment reminders Check voicemail, texts, and inbox messages during assigned shifts Provide backup phone coverage (e.g., during lunch breaks) as assigned Track follow-ups, conversions, and other key intake metrics Requirements Prior experience in healthcare, behavioral health, or medical admin preferred Strong communication and customer service skills Comfortable with client billing conversations (training provided) Organized, reliable, and tech-savvy (EHR/CRM experience a plus) Able to handle sensitive information with professionalism and discretion Willingness to be cross-trained and adapt to evolving systems and needs Why Join Us?
