Client Experience Coordinator (Medspa) Medspa 501 Chapel Hill, NC 27516 About Us We are a high-quality medspa providing advanced aesthetics and wellness services with a reputation for excellence. Our team is passionate about empowering our clients to look and feel their best, and we’re looking for someone just as passionate to join our front-of-house experience team. Position Overview This is not your typical front desk role. We’re looking for a warm, driven, and highly engaged Client Experience Coordinator who will be the face and heartbeat of our practice. This role blends hospitality, marketing support, and community engagement to create a seamless, elevated client journey from start to finish. Key Responsibilities Greet clients with warmth and professionalism, creating a welcoming, boutique-like experience Coordinate appointments, registration, and payment processing via our EHR system Serve as the go-to contact for client communications, reminders, and follow-ups Capture and collaborate on social media content to reflect our brand and highlight services Maintain in-clinic ambiance and ensure everything is client-ready Engage with clients for rebooking and retention to deepen relationships Monitor and respond to online reviews (Google, Facebook, etc.) to support our reputation Support clinical team with some services if trained or willing to be trained Lead community outreach and local business/influencer engagement efforts Contribute ideas to improve the client journey and daily operations Coordinate with the marketing manager and brand partners Perform other administrative duties as assigned What We’re Looking For A magnetic, people-first personality—clients should feel like family Strong organizational and communication skills Interest in aesthetics and wellness (experience in the space is a plus) Comfort with social media, content creation, and customer service tools Ability to multitask in a fast-paced, client-centric environment Experience with EHR or booking systems (preferred but not required) Self-starter with a team mindset Willingness to assist with basic procedures or receive training Why Join Us Work in a growing, mission-driven aesthetic and wellness clinic Join a supportive, energetic, and forward-thinking team Make a meaningful impact on client care and community engagement Enjoy a beautiful workspace and staff perks and discounts Competitive pay and benefits package
