This role plays a key part in ensuring excellent customer experiences, efficient job scheduling, and smooth billing operations. Ideal candidates will have strong communication skills, thrive in a fast-paced construction environment, and enjoy wearing multiple hats.
Key Responsibilities:
Act as the primary point of contact for customer calls, emails, and walk-ins regarding glass service requests, quotes, and job updates Schedule and coordinate service calls, installations, repairs, and project timelines with field crews and customers Work closely with project managers and installers to ensure jobs are scheduled accurately and efficiently Assist in preparing and sending out estimates and invoices Follow up on outstanding invoices and support basic accounts receivable tasks Maintain organized records of customer interactions, project updates, and job files Communicate any scheduling changes or job delays proactively to customers and crews Provide general administrative support to the office and operations team Ad hoc responsibilities as assigned Qualifications Previous experience in construction, glass, glazing, or service-based industries is a plus Strong organizational and time-management skills with the ability to juggle multiple projects Excellent phone and communication skills — both with customers and internal teams Comfortable with basic billing, invoicing, and office software (QuickBooks, Google Workspace or Microsoft Office, etc.) Knowledge of glass types, installations, or service terminology is helpful but not required (training provided) Positive attitude, team-oriented mindset, and ability to thrive in a dynamic work environment We encourage all qualified individuals who meet these criteria to apply for the Administrative Assistant Customer Service & Scheduling Coordinator position.
