Job Description

Operations & Client Experience Manager Body Mechanix Massage 95 Broadway, Dover, NH 03820 We are a busy, well-established massage therapy practice serving approximately 130 clients each week. With a team of 10 dedicated staff members, we are committed to creating a warm, healing environment for both clients and therapists. We are seeking a highly organized, people-focused Office Coordinator to support our growing team and help our practice run smoothly behind the scenes. This role is ideal for someone who thrives on multitasking, loves building relationships, and brings a calm, solution-focused mindset to a dynamic environment.

Key Responsibilities:

Front Desk & Client Services Greet clients warmly and ensure a welcoming atmosphere Answer phones, return messages, and manage email inquiries Oversee appointment booking and resolve scheduling conflicts Ensure seamless client check-in and check-out processes Monitor and manage client feedback or concerns with care and professionalism Scheduling & Team Support Create and manage staff schedules in alignment with business needs Track staff availability, time off requests, and shift changes Be the primary point of contact for therapists regarding schedule questions or logistical concerns Operations & Inventory Facilitate daily laundry operations (we wash and fold all of our linens) Order and maintain office and treatment room supplies Track inventory usage and anticipate ordering needs Manage vendor relationships and negotiate as needed Help maintain and delegate staff involvement in side work Light cleaning duties Implement seasonal shifts Communication & Coordination Serve as a bridge between ownership and staff, promoting clear, respectful communication Help implement and uphold office policies and workflows Assist with onboarding new team members and help coordinate trainings Support staff and client morale with thoughtful gestures, birthday reminders, or appreciation initiatives

Ideal Qualities & Qualifications:

Warm, approachable, and calm under pressure Strong organizational and multitasking skills Excellent communication skills (verbal and written) Experience in a front desk, office management, or hospitality role (wellness setting a plus) Comfortable with scheduling software (e.g., Mindbody- willing to train) Able to manage confidential information with professionalism Interest in or appreciation for massage and wellness

Hours & Schedule:

Generally Tuesday through Friday, 10-6 and Saturday 8:30-1:30pm Must be available to work some evenings and weekends (as needed for business flow) Scheduled weekly meeting with

$26.00 – $28.00 per hour Expected hours: 32 – 40 per week
