This position will work collaboratively with the external Client and the HWP team to support successful execution of programs. The Account Coordinator is responsible for executing assigned tasks during the program life cycle and providing overall administrative support to the team. Additionally, the Account Coordinator is responsible for overseeing and managing relationships with Ambassadors, ensuring professionalism and empathy in all interactions. This includes coordinating speaking engagements, managing logistics such as travel and overseeing live events, ensuring contractual obligations are met. The role also involves assisting with annual training, facilitating payments and maintaining compliance with HIPAA privacy guidelines. What You’ll Do Track, process, request, log, and disseminate payments and expenses via mail or electronically Generate letters to accompany payments Supervise inventory of supplies and monitor shipping/mailing costs Provide administrative and logistical support including, but not limited to, scheduling internal and client meetings, circulating status reports, taking notes and preparation and assembly of meeting materials Actively participate in weekly status meetings providing information/updates for reports in advance of the scheduled meetings, taking notes during the meetings and seeking feedback on notes post meetings Contribute to successful live program execution, including supporting the recruitment process, packing and shipping all needed meeting materials and serving as an onsite resource as required Travel to help support logistical management of meetings required Manage Ambassador relationships and problem-solving with professionalism while demonstrating empathy and compassion in all Ambassador communications Communicate with pharmaceutical company representatives regarding Ambassador engagements and need Respond to Ambassador/potential Ambassador hotline calls and e-mails using approved scripts as appropriate Coordinate speaking engagements on behalf of the Ambassadors and ensure that all logistics, including travel, are confirmed Facilitate expense and honoraria payment process Demonstrate a complete understanding of HIPPA privacy guideline and maintain all contracts, health records and personal information in accordance with these guidelines What You’ll Have Exceeding client expectations is a must. As such we will be looking to you to demonstrate a customer service mindset. Your effectiveness will depend on your organizational and problem-solving skills, great attention to detail, and keen oral and written communication skills.
