Job Summary:

As our Full-Time Client Care Associate & Office Administrator, you play a pivotal role in ensuring our office runs smoothly and that clients have a seamless experience when interacting with our team. Combining client relationship management with administrative tasks, you contribute both directly and behind the scenes to maintain our professional, client-centered approach. Key Responsibilities Client Care Serve as the primary point of contact for all client inquiries, both in-person and via phone, email, and social media. Ensure a warm, professional, and welcoming experience for all clients and visitors. Schedule property viewings, manage appointments, and coordinate with agents to ensure smooth interactions. Respond promptly to client questions, providing information about listings, the buying/selling process, and our brokerage’s services. Manage and update client databases, ensuring accurate and current information. Office Administration Handle general administrative duties, including managing emails, calendars, filing, and office supply orders. Support agents with paperwork, listing processing, document preparation, and filing for real estate transactions Maintain the organization and upkeep of the office, ensuring a clean and professional environment. Maintain and update the brokerage’s listings on MLS and other platforms, ensuring accurate and up-to-date property information. Maintain and update lead tracking activities Data collection for calling lists Assist with coordinating marketing efforts, including social media content, open house materials, and client follow-ups. Team Support Assist principal, agents and administrative staff with all tasks related to the efficient office operations. Coordinate with clients and external service providers as needed. Act as a liaison between clients and agents, facilitating communication and supporting positive outcomes. Organize team meetings, take meeting notes, and follow up on action items to support project completion and team cohesion.

Experience:

Experience in a customer service, client care, or office administration role, ideally within real estate or a similar field.

Education:

High school diploma or equivalent required; an associate or bachelor’s degree is preferred.

Skills:

Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite. Experience CRM systems, and real estate platforms (MLS). Ability to handle sensitive client information with discretion. Attention to detail and accuracy in all tasks.

Personal Qualities:

Friendly, professional demeanor with a client-focused approach. Ability to work independently as well as part of a team. Adaptable, with a problem-solving attitude and willingness to learn.
