We are seeking a motivated and organized Front Desk Supervisor to lead our client service team and support the overall efficiency of the front desk operations.
Position Summary:
The Front Desk Supervisor is responsible for providing leadership, support, and oversight of front desk operations and personnel. This position is approximately 80% supervisory and administrative duties and 20% front desk coverage , ensuring that both team management and client service are delivered with excellence. This is a general overview of the role; responsibilities may shift according to the hospital’s needs.
Key Responsibilities:
Client Service & Complaint Resolution Ensure all clients receive exceptional service with professionalism, compassion, and empathy Address client concerns in a timely, thoughtful, and solution-focused manner Manage escalated complaints with composure and diplomacy Coach team members on how to handle difficult conversations and build client confidence Staff Scheduling & Coverage Build and maintain the support staff schedule in W2W (WhenToWork) Ensure daily staffing levels meet the needs of the hospital Arrange coverage for call-outs or vacant shifts Employee Performance & Development Monitor timecards, attendance, and punctuality Conduct 30-, 60-, 90-day, and annual performance reviews Administer coaching conversations, records of discussion, and performance improvement plans Identify and deliver coaching opportunities in real time Support continuing education and professional development Promote a culture of servant leadership and accountability Training & Operations Maintain and update training materials and onboarding packets Implement a structured training and skill-building program for new and existing employees Provide hands-on training and mentorship at the front desk as needed Administrative & Support Duties Serve as the Supervisor on Duty when assigned Utilize and train team members on AllyDVM and other client communication tools Maintain a professional, calm, and solutions-focused demeanor, especially in high-pressure situations
Qualifications:
Prior veterinary, medical, or customer service leadership experience strongly preferred Proven ability to lead a team with fairness, empathy, and accountability Excellent communication, time management, and organizational skills Strong understanding of scheduling systems, client communication platforms, and front desk operations Comfortable with coaching, performance feedback, and handling confidential information Proficient in computer systems; experience with veterinary software (Cornerstone) is a plus Why Join Nonantum? $41,600.00 – $47,840.00 per year
