Vacation Coordinator Smoky Mountain Distributo 2228 New Era Road, Sevierville, TN 37862 Purpose The Vacation Coordinator is responsible for providing exceptional customer service to guests, managing administrative tasks, resolving conflicts, and ensuring a memorable experience. This role involves coordinating tour gifting, selling attraction tickets, and maintaining accurate records to support sales and marketing operations.
Pay Details:
$15 per hour, plus $25.00 bonus for each Bounce Back package sold to a Getaway4Less Destination or for scheduling a client to visit an area partner for a presentation. Job Duties Answer phones and make calls to provide information about the area, including directions and show details. Greet and check-out guests in a warm and professional manner. Provide basic directions, maps, and area information to guests. Sell attraction tickets and make reservations for dinner shows as needed. Accurately and efficiently gift qualified customers at the end of sales presentations. Assist guests with making reservations for entertainment, additional lodging, and planning itineraries for shows, attractions, and restaurants. Work with theater staff and vendors to reserve entertainment, food, and lodging. Prepare and distribute vouchers for shows, restaurants, and lodging, including collecting payments for shows and attractions. Collecting payments. Handle discrepancies in gift offers by verifying with Call Center, Customer Care, or Broker. Resolve customer complaints and escalate issues to management when necessary. Run and prepare reports for opening and closing procedures. Sell Bounce Back packages to clients to return to a Getaway 4 Less Travel Destination if they did not choose to become members. Present offer to clients to schedule an appointment to preview an area resort if they did not choose to become members. Communicate pertinent information and reports to management. Communicate with Customer Care regarding unusual tours or gifting issues. Balance money and ticket bank amounts at the beginning and end of each shift with Administration Department. Complete daily paperwork accurately, explaining any overages or shortages. Verify transactions against paperwork to ensure alignment with the cash drawer. Keep the ticket price lists updated. Verify deposits with the Administration Manager before dropping daily deposits. Reconfirm guest arrivals via phone and prepare arrival packets. Update guest demographic information in the system. Perform data entry audits of tour information for gifting accuracy. Send daily recap reports to relevant departments. Promote a teamwork environment and maintain open communication with sales, marketing, customer care and administration departments. Maintain an organized, clean, decluttered and professional workspace. Perform other related duties and special projects as assigned by management. General Statement The Vacation Coordinator performs assigned duties in compliance with company policies, procedures, business code of ethics, FLSA regulations, and all applicable laws, ensuring confidentiality, reliability, quality, and productivity. Job Requirements Education, Essential Training / Certifications, and Experience High School Diploma or GED (significant related experience may substitute for education). 1 year of general office or administrative experience. 1 year of customer service experience. Intermediate knowledge of Microsoft Office applications. Strong auditing skills and attention to detail. Auditing ticket sales and gifting on a daily, weekly and monthly basis. Ability to communicate effectively, both orally and in writing. Ability to establish priorities, work independently, and proceed with objectives with minimal supervision. Excellent work ethic, including dependability, ownership of tasks, sense of urgency, willingness to assist others, and trustworthiness. Ability to adapt to a changing environment and handle frequent interruptions in a fast-paced setting. Positive and friendly attitude. Working Conditions Full-time position with varied schedules, including holidays and weekends. Occasional overtime may be required based on business demands. Work performed in a fast-paced environment with frequent interruptions.
