Role:

We’re looking for a sharp, friendly, self-motivated, take-charge-minded Client Services Coordinator with at least 3 years of experience in an estate planning law firm. You will be the engine of our operations—reviewing plans, running meetings, and ensuring that clients have a truly Wow! experience every time. You will take charge of estate planning projects, guide clients through the process, and work closely with our Attorney and Outreach/Intake Coordinator to ensure nothing slips through the cracks.

Responsibilities:
What You’ll Be Doing:

Running the office efficiently—this is a leadership role! Performing initial client intake calls and scheduling client planning sessions. Guiding prospective clients through our Life & Legacy Planning process. Proofreading and revising comprehensive estate planning documents (revocable & irrevocable trusts, wills, incapacity documents). Managing and executing client signings with professionalism and care. Mastering our legal tech stack, including Lawmatics and other CRM systems, to ensure an outstanding client experience. Occasionally supporting marketing and outreach (seminars, community events, etc.). Contributing to internal operations and team growth by taking initiative and offering creative solutions.

Qualifications:
What You’ll Bring:

A proactive, “take-charge” personality who can confidently run client signing meetings, manage deadlines, manage office workflow, and hold the boss accountable. Familiarity with comprehensive estate planning documents (revocable trusts, last will and testament, incapacity documents). Familiarity with Lawmatics or other legal CRM systems. Familiarity with legal practice management systems like MyCase, Clio, Rocket Matter, etc. Strong knowledge of estate planning procedures—not just preparing boilerplate, form documents. We build custom, thoughtful plans, and your work will have a direct, meaningful impact.

Tech-savvy:

comfortable navigating multiple databases and software platforms. Comfortable in a fast-paced, deadline-driven environment. You’re resourceful, organized, and a natural problem solver. You genuinely love meeting new people and helping them feel supported and informed. You don’t mind rolling up your sleeves – whether that means making coffee or helping improve our systems.

Probate and trust administration experience is a big plus!
