Job Summary Customer Care Representatives (CCR’s) provide the first and last impression of each client’s visit to our hospital. CCR’s are responsible for client care and communication, and providing excellent client service at all times. CCR’s perform clerical duties related to veterinary care and treatment, process invoices and payments, answer multi line phone assisting the client or directing the call, and provide miscellaneous support to the veterinary team. Friendly disposition, good people skills, and punctuality are key. Specific Duties (not limited to) Maintaining a professional, cheerful, and helpful attitude when interacting with clients. Answer incoming calls using proper telephone etiquette, directing calls to other team members as necessary, and take care of routine calls, such as scheduling appts. Contact clients to confirm appointments, providing clients with any information or instructions they will need prior to their appointment. Welcome clients and patients to the hospital, check in and weigh patients prior to putting them in an exam room. Use computer system to accurately enter and retrieve records, reports, enter charges, generate call back reports, and appointment calendar. Exercise a technical knowledge of heartworm, flea, and parasite prevention products. Explain and demonstrate products, answer questions concerning products. Ensure that a new client form and new patient form are completed. Ensure all telephone numbers and address are correct on established patients. Recognize and note any vaccinations, tests due, and obtain vaccination history from previous veterinarian if needed. Accept payments from clients. Accurately process cash, checks and charge card payments. Assist other team members in keeping public area clean, odor-free and organized. Minimum Qualifications Perform clerical work with speed and accuracy, use a multiple line telephone system, handle cash and other forms of payment, ability to learn basic veterinary terminology; communicate in a clear, concise, understandable manner; basic computer skills, including ability to learn veterinary management software. Must be 21 years of age. Have reliable and dependable transportation. The successful candidate will have a professional appearance. We prefer candidates who are interested in long term employment. Physical Requirements The Client Care Representative must be able to assist clients and their pets to their cars when needed. The CCR must be able to lift up to 40lbs unassisted. We are looking for a true team player, dedicated, strong work ethic, punctual, honest and kind, with skills to match. This is a full-time position 35-40+ hours per week, starting at $12 to $15 per hour. Vacation, personal days, pet care package, holiday pay, bonus and more. We are open M-F from 8am to 6pm. This position requires that you will open some mornings and must arrive at 7:45am. Other days, you would close, usually by 6:15pm.
