Provide professional reception services, addressing inquiries and welcoming visitors. Facilitate Architectural Review Committee (ARC) processes, ensuring compliance with community guidelines and timely homeowner updates. Offer comprehensive assistance to homeowners, resolving inquiries within 24-48 hours and ensuring high satisfaction. Respond promptly to queries from Virtual Assistants (VAs) via email or chat. Support Community Association Managers (CAMs) with in-office assistance and coverage during absences. Coordinate clubhouse rentals, handling bookings, inquiries, payments, and logistical arrangements. Coordinate the distribution of coupons and welcome letters to residents as required. Assist in compiling and organizing materials for board meetings and distributing packets. Support the creation and proofing of electronic communications such as eBlasts, newsletters, and announcements. Manage inquiries related to community gates and oversee the mailing of gate devices, ensuring accurate billing. Respond to requests for insurance information promptly and accurately. Assist in lease processing and conduct background checks for new tenants, ensuring thorough documentation and processing. Support various mailings to residents, including newsletters, announcements, and important notices. Manage incoming calls, provide assistance, and direct callers appropriately. Assist residents with accessing and troubleshooting issues on the community portal. Facilitate document uploads to the community portal and ensure proper storage. Assist in homeowner record requests, ensuring compliance with privacy regulations. Conduct research on invoices or bills as required by CAMs. Investigate checks or payments to verify transactions and resolve issues before forwarding to accounting. Manage returned mail and update resident records accordingly. Maintain accuracy and currency of information on the CINC platform regarding residents, properties, and community details. Coordinate updates and changes with water utility providers to ensure accurate billing and information. Coordinate landscaping, cable/phone, and gate maintenance work orders, including closing out orders initiated through the portal. Perform any additional duties within the scope of Client Services Associate and as assigned by the manager. Qualifications High school diploma or GED Equivalent. Previous experience in community outreach, event planning, customer service, or related fields. Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Ability to work independently and collaboratively in a team environment. Knowledge of the Cinc platform is a plus. Knowledge of HOA operations and governance is a plus. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
