This role manages front-desk operations, coordinates office activities, and supports various administrative tasks to ensure smooth function. Duties & Responsibilities Respond to incoming phone calls and emails, ensuring clear and professional communication. Greet visitors warmly, issue visitor passes, and log daily visitor activity. Handle incoming and outgoing mail, packages, and deliveries efficiently. Prepare and send parts quotes to customers via email using the AS400 system. Manage the scheduling of conference rooms and appointments using the Outlook calendar system. Create and maintain daily mileage and delivery logs for drivers. Organize office supplies, ensuring the availability of critical items like ink and paper for key departments. Maintaining a professional and welcoming reception area reflects the company’s standards. Support internal staff by requesting printed employment applications in English and Spanish. Coordinate the distribution of Wi-Fi vouchers and notify employees about deliveries. Ensure accurate record-keeping and compliance by properly organizing company files. Use the AS400 system to verify part availability, pricing, and order tracking to support customer inquiries. Perform additional administrative tasks and assist various departments, demonstrating flexibility and teamwork. Schedule appointments and perform general clerical duties as assigned by the supervisor. Process and manage customer orders, ensuring product availability, accurate data entry, and timely communication regarding order confirmations, shipping details, and delays. Resolve customer claims in partnership with the Quality Control and logistic team, ensuring documentation and timely resolution. Additional duties and responsibilities may be assigned upon request. Qualifications The Customer Service/Receptionist must demonstrate leadership, organizational, communication, and interpersonal skills. This role involves maintaining positive and professional relationships by responding promptly to inquiries and resolving complaints. Proficiency in verbal and written communication in English and Spanish and expertise in Microsoft Word, Excel, and Outlook are essential for success in this position.
