Position Summary:
Per Diem/Part-time We are seeking a proactive and personable Call Center Representative to join our team. The primary focus of this role is to manage the spa’s appointment schedule, ensuring that patient slots are consistently filled and optimized for efficiency. You will play a key role in maintaining client satisfaction while supporting our spa’s growth by ensuring seamless scheduling.
Key Responsibilities:
Proactively manage the spa’s appointment calendar, ensuring optimal scheduling and minimizing gaps in the daily schedule Reach out to existing and potential clients to book and confirm appointments via phone, email, and text Handle incoming calls and respond promptly to patient inquiries about services, availability, and promotions Effectively promote services, packages, and treatments to fill last-minute openings Coordinate with service providers to adjust schedules and ensure maximum booking efficiency Process appointment changes, cancellations, and reschedules while maintaining a waitlist for high-demand slots Ensure all patient information is accurately entered into the scheduling system Provide exceptional customer service during every patient interaction
Requirements:
Previous experience in appointment scheduling, preferably in a spa, wellness, or healthcare setting Strong communication and persuasion skills, with a customer-focused attitude Ability to work independently and proactively reach out to clients to fill the schedule Comfortable with appointment booking software and proficient with computer systems Detail-oriented with excellent time management and organizational skills Positive and professional demeanor, with the ability to build rapport with clients over the phone and in person Ability to work evenings and weekends Bilingual (Spanish)
