Boynton Beach, FL Key Responsibilities:

Manage the front desk, daily office operations and ensure smooth workflow. Provide excellent customer service by fielding calls and voicemails, while addressing requests when possible and routing as needed. Actively manage multiple advisors’ calendars by scheduling appointments, managing conflicts, and rescheduling as needed. Prepare meeting information, including prior communications to support the meeting, create an agenda, and follow up on action items. Maintain filing systems, office documentation, and office inventory. Assist with other related clerical duties such as photocopying, scanning, filing, and mailings. Support senior staff and team members with administrative needs. Comply with all privacy regulations to ensure client confidentiality. Adhere to all office policies, procedures, and state or federal regulations. Coordinate client appreciation events and off-site meetings as needed. Distribute client correspondence and newsletters via mail and email. Perform other duties as assigned. The position may also be modified to accommodate the specific needs of the firm. Required Qualifications, capabilities, and skills: High school diploma or equivalent; an Associate’s or Bachelor’s degree is preferred. Proven experience as an Administrative Assistant or in a similar role. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) programs and running an Outlook Calendar. High typing speed (60+ WPM.) Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to handle sensitive information with confidentiality. Strong attention to detail. Reliable and dependable. Strong problem-solving skills and a “make it right” attitude to see through projects and issues. Ability to work both independently and as part of a team. Preferred Qualifications, capabilities, and skills: Demonstrated ability to make connections and deliver exceptional client service to an affluent client base. Experience with Canva, Mailchimp, Zoom, and CRM systems (Redtail). Strong desire to influence and educate clients on technology.
