Must possess and maintain a valid State of Florida driver’s license. Must be of good moral character. Must submit to a post-offer physical examination, drug screen and Level II fingerprinting. The offer of employment will be contingent on the results of testing and/or examinations.

Essential Duties & Responsibilities Position Summary :
Performs clerical functions for the Community Center front office. Collects fee’s and sponsorships, deposits, and reconciles all forms of payments for rentals and registrations. Assists with the Community Center operations related to marketing, rental facilities, recreational activities, classes and programs, and interacts with a variety of people and ages daily.
Essential Duties and Responsibilities:

Greets all customers; refers them to proper individual, provides direction within building and serves as a community resource, when applicable. Provides administrative/clerical support for the CRS department, and divisions; processes a variety of documentation associated with department/division operations within designated timeframes and per established procedures. Assists with operational details and routine responsibilities of the department. Performs customer service functions; answers telephone calls, directs callers/visitors to appropriate personnel, and records/relays messages; provides information/assistance regarding department/division services, activities, procedures, forms, fees, or other issues; distributes forms/documentation as requested; responds to routine questions/complaints and initiates problem resolution. Receives and processes various forms of payments and reconciles those payments, and collects fees at all City sponsored community events. Maintains, disperses, and reconciles petty cash as required. Maintains cash drawers, reconciles, and makes change at bank or City Hall. Coordinates/completes room and pavilion rentals. Receive, sort, and open daily delivered mail; deliver, receive Interoffice mail and make deposits to City Hall daily. Prepares letters, memos, reports and other documents using Microsoft Office software. Markets all events, programs and activities to the public. Conducts Community Center opening procedures; records completed responsibilities on the facility checklist; reviews daily schedules and ensures appropriate room set-up or breakdown required. Conducts facility, basketball court, playground and pavilion usage checks; observes rentals, and reports findings to supervisors. Opens Community Center park gates and outdoor restrooms, if requested. Ensures programs run smoothly, and handles emergency situations with guidance, direction and assistance from supervisors. Ensures safety, security, and cleanliness of the Center office and lobby, ensures facility (interior and exterior) is clean, and reports any issues and/or damages. Communicates to appropriate program supervisor any problem, conflict or customer concern that may arise. Performs other duties as assigned.
Knowledge, Skills & Abilities Knowledge of :
Computer software, including a detailed knowledge of Microsoft Word, Office Excel, Outlook, facility recreation software, and other programs. Cash handling and credit card experience. Business English, spelling, grammar and arithmetic. Customer services procedures. Reception, clerical and office practices and procedures. Basic recreational knowledge; arts & crafts, events, sports, etc.
Ability to:
Pass and maintain the Department of Children and Families (DCF) Clearinghouse Level II background check. Work flexible hours including nights, weekends, and holidays. Handle various situations simultaneously, in a noisy and busy environment. Work with a diverse population. Learn and implement policies, procedures, rules and regulations as needed. Prepare and maintain clear, concise and accurate emails, reports and records. Administer Basic First Aid as needed and CPR in an emergency. Maintain a courteous and professional demeanor. Maintain high standards for professional and ethical conduct. Conduct pre-trip inspection and operate city vehicles on all roadways in a variety of weather conditions. Establish and maintain effective working relationships with co-workers, public agencies, vendors and the general public. Communicate clearly and concisely, both orally and in writing. Follow safety rules and regulations of the City and the Department. Support the Department and City’s Mission, Values and Goals. Education & Experience High School Diploma/G.E.D.. One (1) year clerical, cash handling, experience working with various groups in a community center, recreation or office setting. First Aid and basic CPR certification within six (6) months of employment. Bilingual; fluent in English and Spanish/Creole preferred. RecTrac experience preferred. Must possess and maintain a valid Florida Driver’s License.
