Customer Service Representative Innovative Chemical Technologies Inc 103 Walnut Grove Road, Cartersville, GA 30120

PURPOSE:

The Customer Service Representative role is to provide reception, switchboard, and general hospitality as the first face of ICT. Additionally, this position serves as the primary customer service contact, receiving orders through phone, fax, or email and inputting them into the ERP System, according to ICT company standards and client specifications.

DUTIES/RESPONSIBILITIES

Strives for excellence in all work by focusing on continuous improvement, consistent work practices, and working with other co-workers for the betterment of the company while doing everything well with minimal errors or defects to ensure customer satisfaction and quality standards Answer inbound calls from switchboard, direct callers to appropriate parties Greet visitors and guests, ensure the “Visitor Policy” is followed by making sure the guest is provided with the policy, they sign in/out and are given a visitor badge Ensure the lobby area is presentable Customer service, assist customers with inquiries as it relates to product needs, shipments, changes and delays normally handled via email and on occasion via phone, specifically if urgent or a customer complaint Keep Supervisor/Management team updated with any urgent information, or changes so that guidance can be provided when applicable Process customer orders through ERP system, ensure customers receive automated acknowledgement and confirmation from the system Maintain constant communication with Production Manager, Supply Chain Manager and Logistics Coordinator as it relates to warehouse transfers, shipment changes or date changes in order to notify applicable customers in a timely manner Send order reports daily to applicable parties, Supply Chain Manager, General Manager and Productions Managers (WG & RD) Shipping Report- send shipping report daily to Production Manager (RD) and Assistant Production Manager (WG) the day before shipments go out Send order confirmation report daily to Supply Chain Manager Receive completed batch sheets and repack sheets for finished goods into ERP system (RD) Handle batch sheet discrepancies with ERP/Chempax Coordinator and Supply Chain Manager Assist with customer complaints Serve as a back-up to the Logistics Coordinator for shipping responsibilities Document management (scanning, checking and filing) o Batch sheets o POs o Customer orders Print product labels and barcode labels for finished products SAP entries for production (RD) Print batch sheets for upcoming production (RD) Order office supplies and distribute mail Process post shipment documents Update/create detailed instructions for performing general and administrative job responsibilities All other duties as assigned based on the needs of the business

JOB REQUIREMENTS

High school diploma or equivalent 1-2 years of office support experience Knowledge of internal financial systems and processes Strong organization, multitasking, planning and time management skills Problem solving skills Strong focus on safety management and training Must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals Must have the ability to write routine reports and correspondence Must have the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals Must have the ability compute rate, ratio, and percent Must have the ability to understand and apply safe handling procedures of all materials used in the general office environment Must have the ability and proficiency to use Microsoft office and ERP System and the ability to navigate through multiple screens effectively Must have the ability to apply general understanding to carry out written and verbal instructions Must have the ability to handle pressure and think clearly in all situations Must have the ability to communicate clearly and concisely Must be detail oriented

PREFERRED

Chemical or Chemistry experience a plus
