Position Summary We are seeking an experienced Lead CSR to assist our Office Manager in overseeing our office operations and ensure efficient and accurate management of documentation, customer relations, and internal procedures. The ideal candidate will have a strong background in importing and exporting documents, particularly in relation to USDA and FSIS directives, as well as experience with Warehouse Management Systems (WMS). This role requires excellent problem-solving skills, a proactive approach to leadership, and a commitment to maintaining high service levels. Key Responsibilities

• Manage the import/export documentation process, including establishing access to the Public Health Information System (PHIS) and obtaining Level II credentials.
• Ensure compliance with USDA and FSIS directives, facilitating the creation and submission of necessary export documentation.
• Maintain proficiency in Warehouse Management Systems (WMS), overseeing customer setup and coding processes.
• Handle customer invoicing, renewals, and collections, ensuring accuracy and timeliness.
• Perform data entry for inbound and outbound orders, monitor inventory control, and research discrepancies as needed.
• Generate and provide consistent reporting to the General Manager, ensuring accurate and up-to-date information.
• Develop, draft, and implement office procedures to streamline data entry and service delivery.
• Address customer complaints effectively, maintaining strong communication channels.
• Monitor and manage office supply inventory, placing orders as necessary.
• Review and update open orders regularly to ensure fulfillment and customer satisfaction.
• Lead and mentor office staff, fostering a collaborative and efficient work environment. Qualifications
• Proven experience as a Lead CSR, preferably in a fast-paced cold chain supply environment.
• In-depth knowledge of importing/exporting documents and related regulatory requirements.
• Familiarity with USDA and FSIS guidelines and procedures.
• Solid understanding of Warehouse Management Systems and customer setup processes.
• Solid understanding of payroll systems
• Experience with BRCGS or other food safety standards.
• Proficient in Microsoft Word, Excel, and PowerPoint.
• Strong understanding of customer invoicing, renewals, and collections processes.
• Excellent data entry skills with attention to detail and accuracy.
• Strong analytical and problem-solving abilities.
• Exceptional interpersonal skills with the ability to work both independently and as part of a team.
• Ability to multi-task and prioritize effectively in a dynamic environment.
