Job Description

Client Services Associate Lady Supa Consulting LLC. Atlanta, GA 30339 Client Service Associate The Client Service Associate is crucial in enhancing the overall client experience by maintaining frequent communication with clients and collaborating with advisors. This position handles initial and ongoing client interactions and assists with essential operational procedures within the firm’s daily business operations.

Essential Responsibilities:
  • Verify that all requests to custodians are received and completed accurately.
  • Coordinate, prepare, mail, and process initial document packages.
  • Answer phone calls and assist clients with money movement requests (including checks, journals, wires, and ACH), account transfers, tax documents, and beneficiary updates.
  • Manage the intake of new documents, ensure reconciliation, and follow up with clients on any missing items.
  • Monitor custodian account alerts, research issues, and determine resolutions under the firm’s client service guidelines.
  • Handle all non-advisory tasks for the professional advisory team.
  • Input and maintain accurate client information in databases and software applications.
  • Track outstanding client transfers and purchases/redemptions of alternative assets.
  • Effectively manage and prioritize workflow generated from CRM action items, client phone calls, emails, and additional tasks that do not go through the central database.
  • Scan and file paperwork produced from daily activities and assist the team with scanning and filing as necessary.
  • Ensure that complete cost basis information for client accounts is updated and accessible with the relevant custodian.
Qualifications and Requirements:

  • Strong customer service and administrative abilities.
  • Positive attitude, enthusiasm, and a strong willingness to learn.
  • Ability to effectively prioritize workloads and complete tasks within established guidelines and deadlines is essential.
  • Strong organizational skills and attention to detail, which are critical due to the nature of paperwork and processes relied on by both clients and the Wealth Management Team.
  • Intelligent and analytical thinker with the capability to utilize various resources to ensure high-quality outcomes across all responsibilities.
  • A bachelor’s degree is preferred.
  • A minimum of one (1) year of experience in the financial services industry, with a focus on securities and investment operations.
  • Experience working with Schwab Advisor Services is preferred.
  • Familiarity with portfolio accounting systems, such as Orion, is preferred.
  • Proficiency in Microsoft Office applications.
