Position Overview:
We are seeking a proactive, organized, and detail-oriented Assistant to support our Financial Advisor in delivering exceptional service to clients. The Assistant will help manage client communications, coordinate meetings, prepare financial reports, and support daily operations to ensure smooth and efficient practice management.
Key Responsibilities:
Schedule and confirm client appointments, manage calendars, and coordinate meetings. Prepare and organize client files, reports, and documentation for financial planning meetings. Handle incoming calls and emails; respond to routine client inquiries or direct them appropriately. Maintain and update CRM systems and client databases with accurate information. Assist with account applications, transfers, and service requests. Monitor deadlines and follow up on pending items (e.g., paperwork, client follow-ups). Support compliance with industry regulations and firm policies. Assist in preparing marketing materials, newsletters, or client communications as needed.
Qualifications:
Prior administrative, financial services, or client service experience preferred. Strong communication and interpersonal skills. Excellent organizational skills and attention to detail. Proficient in Microsoft Office (Word, Excel, Outlook); experience with CRM systems is a plus. Ability to handle confidential information with integrity.
Job Type:
Full-time Pay:
$45,000.00 – $65,000.00 per year
