Our mission is to provide responsive, high-quality property care and exceptional tenant service. As we grow, we’re looking for a sharp, organized, and tech-savvy Maintenance Coordinator / Secretary to join our team and help streamline communication between tenants, property owners, and contractors.

Position Overview:

The Maintenance Coordinator / Secretary will serve as the main point of contact for all incoming maintenance requests. You will be responsible for organizing work orders, scheduling contractors, following up on jobs, and ensuring all maintenance tasks are completed efficiently. AppFolio software experience is essential.

Primary Responsibilities:

Receive, prioritize, and process maintenance requests from tenants and property managers Create, assign, and monitor work orders in AppFolio Communicate clearly with tenants regarding timelines and contractor access Coordinate scheduling with in-house and third-party vendors Track job progress and follow up on outstanding work orders Ensure accurate documentation of all maintenance-related activities Assist with billing review and vendor payments related to maintenance Maintain a professional and courteous demeanor with tenants, contractors, and staff

Required Skills and Qualifications:

Proven experience in a secretary, administrative, or coordination role (property management experience preferred) Proficient in AppFolio property management software (must be able to demonstrate competency) Strong communication skills (verbal and written) Highly organized, detail-oriented, and capable of managing multiple tasks at once Strong problem-solving abilities and a calm, professional demeanor under pressure Familiarity with basic home maintenance terminology and scheduling logistics Reliable, punctual, and a team player

Preferred Qualifications:

Experience working in property management or real estate Familiarity with residential maintenance procedures Ability to interact professionally with both tenants and service vendors Basic knowledge of vendor invoicing and maintenance cost tracking
