We’re looking for a friendly, professional, and dependable Client Service Representative (CSR) to join our front desk team. As the first point of contact for pet parents, our CSRs are more than receptionists—they are the face and voice of the hospital. They create meaningful first impressions, help guide clients through their visits, and ensure every interaction reflects the warmth and professionalism we’re known for. Some of the responsibilities you will own in this role: Client Communication Greet clients with enthusiasm and a warm, welcoming attitude Answer multi-line phones using designated phone scripts; convert inquiries into appointments Clearly outline costs and payment policies in a supportive, informative way Build relationships with clients to foster trust and long-term loyalty Handle correspondence including appointment reminders, welcome letters, thank-you and sympathy cards Diffuse tense situations with empathy and professionalism Veterinary Knowledge & Client Education Answer questions about basic animal care and wellness services Direct medical questions appropriately to veterinary staff Educate clients on over-the-counter products like parasite preventatives and supplements Computer & Telephone Skills Accurately update patient and client records in our practice management software Efficiently manage phone calls and relay accurate messages Demonstrate strong computer and data-entry skills Schedule Management Maintain a smooth and organized appointment flow Triage urgent needs and prioritize emergency calls appropriately Admissions, Discharges & Transactions Admit patients and prepare medical documents and certificates Create and review invoices; handle payments with accuracy and care Communicate treatment plans and estimates with clarity and compassion Facility Support Keep the lobby clean, tidy, and inviting Support the proper function of office equipment (phones, computers, etc.) Teamwork & Culture Maintain a positive and respectful attitude with colleagues Stay calm under pressure and be solution-oriented Exhibit a genuine love for animals and a passion for client care Preferred Qualifications Previous experience in a veterinary or medical front desk role preferred Comfort working in a fast-paced environment with shifting priorities Strong communication, organization, and multitasking skills Empathy, professionalism, and attention to detail A positive, team-first mindset Benefits Competitive pay based on experience Health, dental, and vision insurance Paid time off 401K with company match Staff pet care discounts Supportive and inclusive team environment Training and growth opportunities About Acorn Animal Hospital Acorn Animal Hospital, located in Franklin, MA, offers high-end diagnostic equipment, including digital ultrasound, fully integrated digital x-ray, video endoscope, top-of-the-line in-house laboratory equipment, and a vast pharmacy of medications and retail products.
