Qualifications The After Hours Customer Service Associate shall be a person committed to Jesus Christ and the church and dedicated to working in a church related organization. She/he shall have a growing understanding and appreciation for the unique ministry of church camp and conferencing centers. She/he shall have a willingness to learn how the different types of groups, hosted ministry, outdoor education, programs, and registration fit in the ministry. She/he shall have excellent communication, organization, and problem-solving skills. The After Hours Customer Service Associate needs to have a temperament that finds enjoyment in handling a variety of tasks (such as office work and manual labor) and in a variety of people. She/he shall have the ability to handle multiple tasks and complete tasks in a timely manner with accuracy and attention to detail. This person reports directly to the Lutheridge Executive Director (Dotted line to CFO) and works closely to provide information to other departments (Program, Registration, Guest Services, Operations, etc…) as needed. Responsibilities The After Hours Customer Service Associate shall be responsible for assisting with the maintenance and management of the Lutheridge registration processes including summer campers, adult/family programs, day camps, mission groups, seasonal programs, synod convocations and some individual hosted ministry reservations Administration Provide general administrative support to management and staff Add maintenance data into the Maintenance Software as assigned Answer and direct phone calls, emails, and other forms of communication Maintain digital and physical filing systems for documents and records Order and manage office supplies and equipment Assist in organizing programs and hosted ministry Handle incoming and outgoing mail and deliveries Registration duties include but are not limited to: Responsible for timely response to registration inquiries, questions, and/or concerns via phone, email or in person for programs. Competency in the ability to learn and effectively use the organization’s database, Campbrain . Assisting with billing for registrations when needed. Take credit card payments over the phone if called directly. Manage and set up payment plans upon request. Assist with entering pre-registrations when needed. Duties include, but are not limited to:
- When needed, help with set up/preparation and clean-up of meeting spaces for all guest groups.
- Following procedures to open and close buildings/areas for groups.
- Contacting guest groups prior to arrival as directed by the Lutheridge Executive Director or Guest Services Coordinator
- Share weekend on-call responsibilities with the other staff as assigned. Shared responsibilities generally include, but not limited to: o When guests are on site, monitoring meeting spaces between sessions o Carrying the Guest Services cell phone o Checking in at meals o Responding to guest needs in a timely and courteous manner
- Work cooperatively with and communicate necessary information to other staff both at Lutheridge and in the Registration Office.
- Performing other duties relating to guest services and with growth, the future needs of Lutheridge. (To include, but not limited to, occasionally transporting guests to and from the airport.)
- Preparing key packets for guests.
- Greetings guests when they arrive and capturing their contact information and entering it into the system.
