Job Description:
We are seeking a dedicated and experienced Customer Service Representative (CSR) to manage customer interactions, schedule appointments, and support our technicians. The ideal candidate will have experience handling large databases, excellent communication skills, and the ability to multitask in a fast-paced service-based environment. This role requires someone who can make independent decisions, work under minimal supervision, and use initiative and common sense.
Key Responsibilities:
Customer Service:
Answer incoming calls and assist customers with inquiries, scheduling, and service requests. Respond promptly to customer emails and online inquiries. Resolve customer issues in a professional and timely manner. Maintain a high level of customer satisfaction through effective communication and problem-solving.
Technician Scheduling:
Coordinate technician schedules based on job requirements, urgency, and technician availability. Assign and dispatch technicians to service calls and installations. Communicate with technicians to ensure they are aware of their schedules and any changes. Optimize scheduling to maximize efficiency and minimize downtime.
Managing Maintenance Customer Scheduling:
Schedule routine maintenance appointments for existing customers. Coordinate with customers to find convenient appointment times. Maintain accurate records of scheduled maintenance visits and follow-up as needed. Send reminders to customers about upcoming maintenance appointments. Handle rescheduling or cancellations as necessary to accommodate both the customer and the company’s schedule.
Administrative Support:
Assist with general office duties such as filing, data entry, and organizing paperwork. Maintain customer databases and update records as needed. Prepare and process service invoices and payments. Support management with various administrative tasks as required.
Qualifications:
Minimum of 2 years of office administration experience. Strong customer service experience. Experience with handling large databases. Excellent communication skills, both written and verbal. Ability to multitask and work efficiently in a busy service-based business environment. Proficiency in Google Drive and other relevant software. Strong organizational and time management skills. Ability to work independently and make informed decisions. High level of initiative and common sense.
